Gift of Life Donor Program, the non-profit agency serving eastern Pennsylvania, southern New Jersey and Delaware, is responsible for recovering organs and tissues used in life-saving and life-enhancing transplants.

This is an exceptional opportunity for an experienced Executive Assistant to provide administrative, secretarial, and project management support to the Vice President of Administration and General Counsel. Working in a fast paced, high volume executive office environment you will effectively relate with a diverse group of constituents; develop/ maintain professional relationships with internal and external stakeholders; assemble highly confidential and sensitive information; exercise independent judgment to plan, prioritize, and organize diversified workload and work processes; create and develop visual presentations using Microsoft Office (Word, Excel, and Power Point) software.

As part of the 200+ Gift of Life staff, you will represent the nation’s leading organ donor program, which coordinates more life-saving organ donations than any program in the country. A non-profit, federally designated organ procurement organization, we partner with leading hospitals throughout our region to save lives and offer hope to thousands of families each year.

Successful candidates will demonstrate the ability to: 

  • Provide administrative support for all three Gift of Life entities 
  • Coordinate various filings and submissions including insurance renewals, lobbyist filings, and subpoenas
  • Support and track the contract management process 
  • Answer both routine and non-routine correspondence often pertaining to highly confidential and sensitive information 
  • Responsible for calendar management, including scheduling and arranging meetings/conferences, travel, and lodging
  • Assist in preparation of materials and presentation for meetings 
  • Support governance process, including board meeting preparation and process minutes for Board meetings
  • Create and develop visual presentations using Word, Excel, and PowerPoint
  • Oversight of special program initiatives, including regional research grant program and processing of driver’s license applications for specialty plates 

Successful candidates will possess:

  • Bachelor’s and five years of experience working as an Executive Assistant (or an equivalent combination of education and experience) 
  • Experience supporting management executives is required
  • Experience using Microsoft Word, Microsoft Outlook, Excel, and PowerPoint required
  • Interpersonal skills to handle sensitive and confidential situations and to demonstrate poise, tact, and diplomacy
  • Organizational and time management competencies to multitask simultaneous projects and meet deadlines
  • Experience working in a legal environment is a plus
