    TITLE: Donor Relations Coordinator

    STATUS: Full-time Non-Exempt

    DIVISION: Development

    REPORTS TO: Associate Director of Development

    POSTITION AVAILABLE: October 2, 2024

    THE POSITION

    Reporting to the Associate Director of Development, the Donor Relations Coordinator is responsible for supporting the planning and execution of all special events for prospects and donors. Over a production season, these events range from intimate stewardship and cultivation dinners, pre-show cocktail hours, Opening Night post-show celebrations, Inside Look production-specific engagement events, the Annual Benefit, and a variety of other gatherings.

    Other duties assigned include serving at the primary donor services point of contact, assisting with donor communications, and supporting the fundraising efforts of the four-person development team, Executive Director, Artistic Director, and the Board of Directors.

    The position requires regular weekend and evening work to support events and meetings. The Donor Relations Coordinator will work regularly onsite.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    EVENT PLANNING

    • Support the planning and execution of all cultivation and stewardship moments ranging from small dinners, Opening Nights, Inside Looks, donor trips, and the
    • Serve as the point of contact in advance and day-of for relevant vendors (i.e. caterers)
    • Work closely with other departments to plan and execute space usage
    • Maintain department inventory of event supplies, wine and beverages, and table decor

    DONOR COMMUNICATIONS

    • Serve as the primary donor services point of contact for incoming calls and emails, striving to respond to needs appropriately and timely
    • Draft donor communication including renewal letters, thank you correspondence, email notices, and invitations
    • Build emails using Prospect 2 and oversee review process for communications
    • Call lower-level donors and prospects to steward personal connections
    • Create, maintain, and update the department’s communications calendar

    FUNDRAISING SUPPORT

    • Use the Tessitura database to document and track donor acquisition and retention activities and progress
    • Assist with donor stewardship including writing seat notes for donors, staffing the donor table at performances, and researching donor appreciation gifts
    • Support board-led committees by attending meetings, helping with scheduling, preparing meeting materials, and taking meeting minutes.
    • Provide administrative support for the department.

    OTHER RESPONSIBILITIES

    • Serve as the interdepartmental development team liaison
    • Participate in Studio Theatre’s on-going anti-racism work
    • Other duties as assigned

    SKILLS AND QUALIFICATIONS

    Studio Theatre is seeking an individual with considerable talent, passion for the theatre, and ability to advance institutional aims. We expect a candidate will have:

    • Experience in event planning, donor relations, or a related field, preferably in non-profit and/or arts-related organizations
    • Strong organizational skills, the ability to multitask and prioritize, and time management to meet deadlines.
    • Detail-oriented to ensure all aspects of event execution are well-coordinated
    • Ability to collaborate with multiple departments for space usage, scheduling and event logistics
    • Ability to problem-solve and think on your feet
    • Comfortable communicating with vendors, staff, and donors, and eager to build relationships
    • Strong verbal and written communication skills
    • Ability to handle sensitive and confidential information with discretion.
    • Basic understanding of and experience with donor management systems like Tessitura, email platforms, and/or ticketing systems.
    • Proficiency in Microsoft Office Suite for administrative support
    • Comfort with significant screen time (5-8 hours daily)
    • This position occasionally requires standing for extended periods of time as well as lifting and carrying up to 25 pounds.
    • Enthusiasm and passion for arts fundraising, donor engagement, and event management.

    COMPENSATION:

    This position is a full-time salaried non-exempt position with an annualized salary between $42,000 and $47,000.

    Studio Theatre offers a generous benefit package including medical with a partial employer contribution and a funded HRA, dental, and vision insurance and FSA; long-term disability insurance; life insurance; 401K with an employer match; and commuter benefits. Studio Theatre time off policies include ten paid holidays, five floating holidays, separate sick leave, and annual vacation leave accrual starting at ten days for new hires.

    Studio Theatre’s administrative hours are Monday thru Friday 10am to 6pm. Studio Theatre’s remote work policy allows certain positions to work remotely up to two days a week plus exceptions on a case-by-case basis. Due to the nature of live entertainment, all positions may require some evening and weekend work.
