Position:              Business Administrator



Reports to:       Corps Officers 



Status:             Full Time / Exempt



Department:     SF Railton Place and Sf Kroc Community Center

OVERVIEW:

 

The Business Administrator is responsible to the Executive Director to maximize available resources in order to promote the financial stability of the Kroc Center/Railton Place through team problem solving, goal setting, budget development, resource development, financial analysis, contract monitoring, marketing and public relations. This position will maximize administration efficiency in all business matters, including Human Resources and building maintenance.

 

FINANCE DUTIES:

·        Supervision of business department assistant.

·        Oversight, review and approval of all check requests.

·        .Provide regular reports of income and expenses to Corps Officers.

·        .Oversight of all payables and receivables for the Kroc Center / Railton

·        Responsible for annual budget and analysis of actual as compared to budget figure for the Kroc Center / Railton Place. Conduct monthly budget review meetings with budget managers to ensure adherence to established goals and/or problem solve to adjust to changing environment.

·        .Responsible for payroll journal re-allocation to account for Railton Place Government Contracts and other activities for Kroc Center fund department accuracy.

·        Responsible for audit preparation on specific schedules and response.

·        Establish effective internal controls to protect The Salvation Army resources including cash, GIK, inventories, and purchases.

·        Maintain Petty Cash for purchases of time-sensitive supplies. Reconcile on monthly basis to ensure proper handling.



CONTRACT/ GRANT MANAGEMENT ACCOUNTING DUTIES:

·        Assist Railton Director with preparation of SF State & Federal contracts .

·        Be familiar with and monitor appropriate program for each new contract / grant when proposed. Be knowledgeable in the specific detailed program and reporting requirements of each grant. Create, implement and administer all systems and procedures necessary to monitor and audit contract requirements.

·        Create and maintain detailed tracking "Contract / Grant Log" to ensure that all deadlines are met for invoicing, reports, reviews and audits.

·        Attend all required grant training sessions.

·        .Supervise the invoicing and collection of payment as it relates to fulfillment of grants & contracts.

·        Ensure timely submissions of all invoices, journals, reports. Ensure timely accurate payments & preparation of the VA SF425 Annually

 

FACILITIES:

·        Oversee facilities department for Kroc and Railton Place, including maintenance, janitorial and security aspects.

·        Administer Safety program including committee, procedures, insurance…

·        Work with Kroc and Railton to ensure welcome desk staff and procedures serve each program’s needs.  

·        Assist bid process and selection of appropriate vendors. Work with appropriate program director and corps officer to process approvals, payments and oversight of work.  

         ·        Bachelor's Degree in Management, Accounting, Finance, Marketing or Business Administration.

·        CA drivers license and ability to complete The Salvation Army driver training program.

·        Minimum of five years in business administration or accounting positions.

·        Must possess the ability to be detail oriented, accurate and precise.

·        Excellent problem solving and critical thinking skills.

·        Background in Salvation Army fund accounting procedures helpful.

·        City of San Francisco and federal & state government contracts experience highly desired.

·        Contract experience required.

·        Experience with non-profit business administration highly desired.

·        Experience and ability to facilitate special projects; work with diverse communities; strong verbal and written skills; ability to analyze and interpret fiscal and operational data.

·        Must have excellent computer skills and be very proficient in all business applications.


PHYSICAL REQUIREMNTS:

·        Ability to function in a modern office environment.

·        Ability to operate a motor vehicle

·        Ability to lift 25lbs. (file boxes)
