SUMMARY

The Executive Assistant/Project Coordinator reports directly to the CEO, and has a prominent role in the organization. Working at CalNonprofits as the Executive Assistant/Project Coordinator will allow you to be in on the policy and program work of a statewide nonprofit alliance, advocating for nonprofit communities — in matters such as regulation, funding, voting, nonprofit overhead, and more. As the Executive Assistant to a nationally recognized nonprofit leader, you’ll also be part of coordinating and managing programs with significant state and national impact.

 

PURPOSE

Reporting to and working with the CEO, this position’s primary responsibilities include support to CEO, other senior staff and Board of Directors, high level communication and project management.


EXAMPLES OF DUTIES


Executive

·      Executive assistance to the CEO, such as calendar management, organizing conference calls, preparing documents, meeting preparation.

·      Shares responsibility for assistance to other senior staff.

·      Support to the CEO and others in grants, including proposal development, tracking and reporting.


Project Support & Coordination

·      Under the guidance of the CEO and other senior staff, coordinate or participate in short and long term projects such as events, webinars, programs. Activities include interfacing with other organizations and individuals, tabling at events, confirming speakers, etc.

·      Monitor progress of projects and apprise CEO of project status.


Board of Directors

·      Coordinate communications and directives between the CEO and board members, and among board members.

·      Coordinates and executes special tasks and projects as requested or required.

·      Attends and supports board meetings.


Administrative

·      CalNonprofits is a small office. With other staff, participates in such tasks as copying, mailing, responding to inquiries from member organizations and potential members, maintaining databases and the website, and office fulfillment tasks.

·      May supervise support staff.

·      Ability to handle confidential information

 

REQUIRED

·      Five or more years of experience in nonprofit administrative and program work

·      Valid California driver's license and satisfactory driving record

·      Technology and internet skills, such as use of Microsoft Office Suite, email, Skype, Facebook, online calendars, Internet search, database interaction, website management, and other applications.

·      Excellent ability to read and interpret ideas in writing

·      Strong verbal, written, and telephone communications skills

·      Ability to work effectively with people of diverse backgrounds and political views.

·      High professional and ethical standards

·      Operate in a fast-paced environment

·      A commitment to the mission of the California Association of Nonprofits, appreciation for community nonprofits, and support for the organization's strategic goals.


PHYSICAL DEMANDS

Work will include extended periods of computer operation, participation in meetings, some in-state travel.
