Title:     Events & Development Associate  

Position Description:

Walk With Sally is a non-profit organization whose mission is to provide mentoring support programs and services to children of parents or siblings with cancer.  In order to provide these free-of-charge services, we hold two annual large fundraisers and increase our exposure through smaller more regular special events.

The Events & Development Associate will work directly with the Development Director and Executive Director daily to ensure the effective completion of all Walk With Sally sponsored special events.  Throughout the summer we will be working on White Light White Night, our largest fundraiser of the year, as well as smaller mixers and other marketing-related events.

Specific Responsibilities/Duties:

 

1.    Oversee all aspects of executing large scale events, including invitation production, budgeting, seating, staffing, in-kind donor recruitment, volunteer relations, event committee, vendors (caterers, florists, designers, printers, entertainment, etc.), and marketing. Ensuring success for all events, including but not limited to WLWN and Friendship Bowl

2.    Oversee all other “donation-development/generating” sub-event activities such as silent auction, live auction, opportunity drawing, merchandise sales, donation appeal, mobile phone campaigns, social media donation campaigns, etc.

3.    Plan pre-event mixer and post-event mixer functions (i.e. volunteer’s party, ticket launch party, VIP wine event)

4.    Maintain timely and accurate minutes and notes at event committee meetings.

5.    Assist Development Director in accounting for receipts of donations and execute thank you notes to key donors.

6.    Acknowledge event gifts accurately and in a timely fashion.

7.    Track and process event expenses and in-kind donations.

8.    Research, solicit, and steward in-kind silent, live, and platinum donors.

9.     Steward events chair, co-chair, and active committee members

10. Steward, research, and solicit cash and in-kind sponsors such as wine, alcohol, restaurants, and paper goods.

11. Manage and delegate administrative tasks to volunteers and interns.

12. Manage customer and campaign information utilizing Salesforce accurately, timely and in full compliance with established organizational standards and guidelines. 

13. Provide ad-hoc project-based support to ensure the effective, efficient operations of the Walk With Sally office. 

14. Assist in preparing and monitoring interface tools for companies and individuals participating in peer-to-peer fundraising.  

15. Steward relationships with fundraisers, provide customer service, and troubleshoot inquiries with regard to peer-to-peer fundraising strategy. 

16. Management of MRR campaign including payments, invoices, appreciation, and donor communications.  

17. Supports the coordination and implementation of event logistics, including but not limited to detailed project management, customer service, administrative support, data management, website and email campaign management, and volunteer and vendor management. 

18. Graphically create event marketing materials, powerpoint presentations, blogs, emails, etc. 

19. Actively participates in and contributes to regular staff meetings, training, and activities that support the achievement of overall organizational goals. 

20. Manage, recruit and steward Friends of Sally, our recurring giving program

 

Position Requirements:

 

1.    Day-of-event supervisor for WLWN and other special events (managed by WWS or beneficiary event for WWS).

2.    Work in a team environment to effectively and positively represent Walk With Sally and its mission in the community.

3.    Work occasional evening and weekend meetings required.

4.    Perform all other duties as assigned related to development & program special events and activities.

5.    Attend marketing events, trade shows, volunteer recruitments, networking and social organization events and any other events that would benefit and promote WWS.

 

Experience:


1.    BA or BS in Communications, Marketing, Business, or Non-Profit Studies

2.    Two years plus experience in marketing and/or special events.

3.    Proficiency in MS Microsoft Office. Seasoned in Salesforce and social media.

4.    Excellent verbal and written communication skills.

5.    Extremely organized, detail-oriented, information prioritization, and time management skills key.

6.    Pleasant and outgoing personality w/ a professional demeanor
