POSITION DESCRIPTION

FCLTGlobal seeks a proactive, organized, and detail-oriented individual to join the team as an Events Associate. This position will support the development and execution of online, in-person, and hybrid events for senior global business leaders. This is an exciting opportunity for an enthusiastic individual with experience in event strategy, technology, and production, for both virtual and live events. From FCLTGlobal’s biennial Summit, to the many webinars and virtual roundtables we host throughout the year, the Associate will assist in key aspects of event planning, including identifying the right technology resources, working with colleagues and external partners to finalize event structure, designing and executing a high-quality event experience, and assessing the effectiveness of the event. 

 

The Events Associate will report to the Managing Director of External Relations and work together with other members of the team to support events. FCLTGlobal’s work is fast-paced and, while the primary areas of responsibility are as follows, we value adaptability and a collaborative mindset.


FCLTGlobal Biennial Summit

·       Assist in the planning and execution of logistical aspects of Summit, including liaising with external partners, venue and vendors, timeline planning, production, and budget

·       Support the agenda planning process with internal subject matter experts

·       Help to execute Summit event details, from planning to execution to post-event analysis 


FCLTGlobal’s Attendance at Global Conferences

·       Support the planning and execution of logistical aspects of FCLTGlobal attendance and events held at global meetings such as the World Economic Forum annual meeting in Davos, including details with external partners, venue and vendors, timeline planning, production, and budget

·       Assist in the agenda planning process with internal subject matter experts

·       Manage select event details, within planning, execution, and post-event analysis 


FCLTGlobal’s Annual Event Calendar

·       Work with the External Relations team to develop an annual event vision and strategy that advances organizational goals

·       Coordinate FCLTGlobal’s ongoing calendar of webinars, roundtables, and events, ensuring stakeholders are kept apprised of updates 

·       Work with colleagues across the organization to organize event content and market events

·       Perform research to uncover best practices for effective event engagement and presentation

·       Help to build processes for repeatability and scalability of events and activities

·       Think creatively to continuously improve attendee experience, and implement meeting format innovations, particularly in virtual space

·       Invitation and Registration Strategy: partner with event hosts to develop invitations and registration, generate invitee lists, prepare registration content, and manage status reporting

·       Monitor event budgets


Managing FCLTGlobal’s Appearances

·       Capture FCLTGlobal’s annual calendar of speaking opportunities and keep it up to date

·       Maintain a global speakers’ bureau of FCLTGlobal board members, staff, and representatives

CANDIDATE REQUIREMENTS AND EXPERIENCE

FCLTGlobal combines the energy of a small start-up organization with the reach of a global network of top-tier members companies and investors. As such, the successful candidate will display professionalism, creativity, and an entrepreneurial spirit. They must have a sense of urgency, a level of comfort dealing with ambiguity and the tenacity to work through the unexpected. 


In particular, candidates should have: 

  • 2-5 years of event planning experience
  • Experience planning and managing virtual and in-person events
  • Experience managing an annual calendar of speaking engagements 
  • Excellent organizational, attention to detail. and project management skills
  • Proficiency with Cvent, Salesforce, Zoom and other event-related technologies preferred
  • Partner-oriented: a great collaborator, communicator, and creative problem-solver
  • Highly organized with the discipline to keep track of multiple parallel projects
  • Passion for virtual event technology and an ongoing drive to improve the attendee experience
  • Experience in managing projects that have tight deadlines, limited resources, and cross-functional dependencies
  • Ability to meet demands of multiple clients simultaneously, balancing speed with quality 
  • The ability to communicate with multiple cultures and with diplomatic sensibilities. This includes the ability to recognize and adapt to cultural differences in work and communication styles across regions or countries.
  • BA required
  • Limited travel: The Associate is expected to be present to manage onsite execution of Summit and other events  

LOCATION

This is a full-time role located at FCLTGlobal’s office at 31 St. James Avenue in Boston’s Back Bay or through virtual work arrangements as appropriate for public health conditions.

COMPENSATION

Competitive non-profit compensation packages commensurate with experience are provided, including healthcare and IRA matching contributions.
