Program Description:

The Senior Ex-Offender Program (SEOP) is the first re-entry program in the United States to focus on seniors. The program serves current and formerly incarcerated men and women who are 50 years and older. Through counseling, referrals and social support, the program gives ex-offenders an opportunity for a new start to re-engage in the community. Through intensive case management, SEOP is committed to restoring self-respect through social modeling, providing care, guidance and services, and finding solutions to the challenges faced by ex-offenders.             

The Position:

The Administrative Assistant assists Senior Ex-Offender Program (SEOP) case managers in daily tasks and in general operations including; administrative duties related to case management, human resources, facilities and general office management, and staff support. The Administrative Assistant works closely with the Program Director to ensure that organization and office operations run smoothly. This is a part-time position and will be reassessed after a 6-month period.                                                                         

Responsibilities

·        Handle incoming/ outgoing mail and organization’s general inquiry email addresses.

·        Receive, answer, transfer, and clearly document calls and emails.

·        Manage programs phone system including updated voicemail, setting and managing call forwarding, etc.       

·        Prepare regular internal communications, including staff-wide announcements and update

·        Maintain organizational filing systems, both paper and cloud based, in compliance with our policies  

·        Regularly attend SEOP meetings and other Bayview Senior Services meetings and take notes if needed.

·        Manage facilities including equipment maintenance, office supplies, general IT, data

backup systems, Google Suite, general cleanliness of program space.   

·        Assist in ordering, stocking, and managing supplies as well as keeping inventory.

·        Assist the Program Director in effectuating required reporting and correspondence with government organizations   

·        Assist Program Director in maintaining documentation for payments, staff expense reporting, and bookkeeping               

·        Assist in ensuring data bases are updated and in working order on an ongoing basis

·        Perform tasks and responsibilities in a complete and timely manner, complying with SEOP policies and standards and conforming to scheduling requirements of this job description and program.

·        Maintain an awareness of the program’s and agency’s mission and work to promote the positive individual and social change goals it embodies.

·        Exercise discretion and professional judgment at all times keeping with the responsibilities carried personally and by the agency for the care and welfare of students.

·        Actively strive to upgrade professional skills through engaging in appropriate professional training and experience.

·        Ability to work with diverse staff and excel in a multi-cultural environment.

Qualifications         

·        High school graduation/GED

·        Previous work experience or education in administration, criminal justice or related sectors

·        Highly skilled working with computers and technology, Microsoft Office software

·        Proficient in Microsoft Office Suite: Excel, Word and Powerpoint

·        Highly organized and detail oriented

·        Excellent writing and research skills    

·        Be a self-starter and team player.

·        Commitment to social justice and criminal justice reform                                                                          

Experience preferred                   

·        BA with or four years experience in the field of aging, social work or related field 

·        Experience in bookkeeping, file management, and facilities     

·        Experience with Google Suite (Gmail, Docs, Sheets, Forms, etc.), graphic design platforms (Canva, PhotoShop, etc.),     

·        Have a strong political understanding of racial, and criminal injustice.

·        Understanding of San Francisco neighborhoods (particularly Bayview) and knowledge of local resources.                    

·        Experience working with low-income communities of color, formerly incarcerated, homeless and those with mental health and substance abuse issues.      

Compensation and Benefits:                                                                   

This position is part-time, non-exempt. Compensation is dependent upon experience (DOE). SEOP provides an excellent working environment that encourages teamwork and recognizes high-quality work.
