KIWA is a multiracial worker center, with roots in the Korean democracy movement and racial and economic justice movements of the U.S. Founded in 1992 in Koreatown, Los Angeles, the mission of KIWA is to build the power of immigrant workers and residents and to organize a strong grassroots leadership to transform our workplaces and communities, in Koreatown and beyond. KIWA has achieved victories in the restaurant and supermarket industries and shaped the culture of work in Koreatown. We engage in workplace organizing, policy campaigns, affordable housing advocacy, and worker- and tenant services in Spanish, Korean, and English. We are a membership-based organization open to all with a mostly Latino and Korean base. Worker organizing and leadership development are central to our work and our theory of change. We are seeking a progressive, mature, detail-oriented and generous-of-spirit individual to join our organization and work as part of a community dedicated to a more just, verdant, and livable community, city, and world. 

Job Title: Office Manager

Employment Status: Part-time, regular, confidential employee.

Deadline: Applications reviewed on a rolling basis, starting immediately. Position is open until filled or cancelled. 

Salary Information: $24 per hour, non-exempt.

Work Schedule: Generally, Monday through Friday, 20 hours; includes some weeknights, early mornings, and weekends.

Job Duties 

· Serve as primary, front-line contact for KIWA; handle inquiries from the general public: walk-ins, via phone, email, answer questions and/or direct them to the appropriate staff member(s) as needed.

· Provide operational office coordination for filing systems, computer systems, mail/correspondence, scheduling, office supplies, for all telecommunications and voice systems.

· Coordinate with Finance Manager and assist with processing and coding of payment requests, receipts, travel reports, and other financial information.

· Oversee maintenance and provide basic computer equipment troubleshooting; liaison with the Information Technology to submit requests or resolve issues.

· Provide administrative support for board and other meetings. Tasks include scheduling conference calls, Zoom meetings, emailing meeting agendas, note-taking, and other assignments as requested. 

· Ensure office space remains orderly and well stocked at all times.

· Fill the role of Safety Officer, monitoring and assessing compliance with health officer orders to prevent the transmission of COVID-19 in the workplace, as well as general workplace health and safety matters. Alert appropriate management staff and assist with developing measures to assure workforce safety.

· Perform special projects and duties as assigned.

· Provide comprehensive administrative and project support to the Executive Director (ED). Work effectively both independently and collaboratively. Maintain calendars, schedules appointments, meetings, etc.

· Prioritize and manage internal and external communications and inquiries – by phone, email and in person on behalf of ED.

· Perform administrative functions, in support of the ED, such as note-taking, document preparation, invoice submission, data entry, and filing.

· Schedule and prepare for Board meetings including advance materials, minutes, set-up and any necessary follow up.

· Occasional ED travel arrangements including lodging and air travel.

Experience Needed: 

· 3 - 5 years of administrative/operations experience, preferably at a non-profit or social-justice organization.

· Undergraduate degree or equivalent combination of education and experience sufficient to successfully perform duties.

· Excellent punctuality and dependability is required.

· Demonstrated ability to prioritize and handle multiple tasks and to work collaboratively.

· Advanced computer and email skills, including proficiency in Microsoft Office suite, especially Word and Excel.

· Familiarity with web-based software such as Google Drive, Microsoft 365, One Drive, or database software.

· Experience with Zoom a plus.

· Superb English written and verbal communication skills; comfortable and proficient with professional correspondence and editing.

· Bilingual in English and conversational Spanish required.

· Experience with maintaining discretion with confidential information.
