Springboard To Opportunities. Springboard To Opportunities connects families living in affordable housing with resources and programs that help them advance themselves in school, work and life. We do this by working directly with families, as well as by establishing strategic partnerships with other organizations that help residents achieve their goals. Springboard To Opportunities was formed with the understanding that affordable housing alone is not enough to create thriving communities where all residents can succeed.

Executive Assistant Position – Overview. Springboard To Opportunities requires a part-time contract (20 hours or less) administrative assistant located in the Jackson, MS headquarters. Candidate should have a minimum of two years of experience and substantial technical skills who can work independently to carry out organizational support, including communications, database management, donor contribution processing, print and electronic document preparation, website, and social media management, event support, and other related responsibilities as required. The administrative assistant reports to the Chief Executive Officer.

Responsibilities

 Communications and correspondence — ensure and prepare communications and share information to Board members, committees, and outside groups; answer telephone calls and mail (written and emails); gather, compile and manage event notices and news items; send Board meeting notices and documents; send/leave messages in response to online inquiries about the organization via the web-page; maintain and update website, add and/or refresh new content weekly.

General Administration — Monitor and maintain the database to ensure the accuracy and integrity of data; maintain document and media files; maintain photos; maintain an adequate supply of office supplies, postage and mailing supplies; prepare mailings; maintain records of vendor accounts; and participate in regularly scheduled team meetings.

Donor and grant management — maintain records; send thank-you letters to donors; file incoming and outgoing grant documents and maintain records and due dates for grants.

Qualifications

  • Minimum of two years of experience working in administrative position with similar responsibilities.
  • Motivated self-starter with strong time management skills, a demonstrated ability to manage multiple tasks and to work independently with minimal supervision.
  • Ability to work cooperatively with staff, partners, board members, and volunteers.
  • Detail-oriented with strong organizational, analytical and planning skills.
  • Strong demonstrated computer skills and knowledge of full complement of software such as Microsoft Office and Google Products.
  • Strong demonstrated proofreading, copy editing and editorial skills.
  • Demonstrated ability to write in a clear style for announcements, short articles, and website information pages.
  • Basic project management experience and use of Google Products (Docs, Sheets, Groups etc.) to track and manage projects.

Salary and Work Schedule. This contract position is 20 hours per week, with additional hours when necessary. Salary is $15-20 per hour based on experience. Must be able to work a minimum of three days per week (days subject to agreement). Periodic evening or weekend work may be required but with advance notice. No benefits provided. 

Other Requirements. The Administrative Assistant is expected to be in the Jackson Metro area. The incumbent must have a home or other office with telephone, computer with Microsoft Office or Apple equivalent, printer, scanner and other necessary equipment to carry out responsibilities. A computer video camera is required since many meetings are held by video conferencing using Zoom. Should be able to travel for occasional meetings or event (transportation costs reimbursed).

Level of Language Proficiency
