The Hebrew Free Loan Society is seeking an Administrative/Development Assistant to help support the Executive Director, the Development Department, our Board of Directors and other aspects of the HFLS office operations.

The Hebrew Free Loan Society (HFLS) is the only microfinance organization making a wide range of 0% interest loans to low- and moderate-income New Yorkers. HFLS loans foster financial stability and opportunity among borrowers of all backgrounds.

Primary Job Responsibilities:

Executive Director and Board Support

- Manage Executive Director’s calendar, including scheduling and prioritizing meetings and calls and making travel arrangements when needed

- Coordinate and schedule Board, Board committee, and other HFLS meetings, including booking conference rooms, preparing and distributing meeting materials, room preparation, taking and circulating meeting notes, etc.

- Manage internal communications with Board of Directors, including distribution of information and responding to Board member inquiries

Development Department Support

- Maintain accurate records of all donations in HFLS online fundraising software including inputting gifts, notes, next steps, and other pertinent information

- Preparation and timely mailing of donation acknowledgement letters

- Monthly revenue reconciliation with finance department

- Responsible for large data extractions from fundraising software for mailing, reporting, and other purposes

Additional Responsibilities

- Handle overall office management responsibilities

- Assist with telephone support, e.g. explain loan procedures to clients, mail or email applications, and provide general customer service support when needed

- Assist other staff with the preparation of documents and special projects when needed

Administrative/Development Assistant Skills and Qualifications:

Strong writing and verbal communications skills

Excellent knowledge of Microsoft Office and Excel

Team player, proactive approach, detail-oriented

Familiarity with fundraising software a plus

Ability to work well with all levels of internal management and staff, outside clients and vendors

Spanish language fluency a plus

Level of Language Proficiency

Spanish language fluency a plus
