AIA Seattle is one of the largest architectural associations in the US, with an inspiring community of members who are passionate and engaged in our changing city. AIA Seattle is seeking a Finance Manager to oversee and manage finance and accounting functions for:

· AIA Seattle, a medium-sized 501c6 professional membership organization with an annual budget of $1.5 million and a staff of 13

· Design in Public (DiP), a small 501c3 charitable organization and strategic initiative of AIA with an annual budget of $250,000 and no staff; and

· Center for Architecture & Design (CfAD), a simple LLC that manages the finances of our real estate asset and its tenants


Essential Job Functions

Financial Management

Develop and manage financial and accounting systems to promote fiscal responsibility and improve financial decision-making

· Staff and manage AIA Seattle’s Finance Committee

· Lead creation of annual budgets (AIA, DiP and CfAD) with board and staff

· Work with Finance Committee to establish and adhere to financial management policies

· Prepare quarterly financial reports for boards and staff

· Manage reserve funds and investments

· Complete AIA Seattle’s annual review or audit with independent accountant

· Identify organizations’ insurance needs and manage insurance procurement and renewals


Accounting

Manage day to day accounting functions

· Perform in-house accounting functions, with support of Membership & Development Coordinator

· Perform general ledger, payroll, accounts payable, and accounts receivable functions in accordance with GAAP  

·Maintain adequate financial records

· Conduct daily cash management and banking transactions, including administration of online financial accounts

· Monitor income and expenses in relation to budgets, and provide financial statements to staff on request

· Develop, implement and maintain internal control systems to safeguard the organizations’ assets

· Manage semi-monthly payroll

· Manage integration of payment process across all platforms


Compliance

Ensure compliance with financial, legal and labor regulations and requirements

·Prepare and file monthly and quarterly taxes and annual non-profit filings for AIA and Design in Public

· Communicate essential labor law information to supervisors and staff


Benefits and Operations

· Assist Management Team in identifying employee benefits providers, manage and administer employee benefits programs, and onboard new employees to the organization’s benefits and payroll programs

· Monitor employee time tracking and PTO accruals

· Provide insurance documentation as needed for events

· Manage depreciable assets and computer hardware rotation schedule

· Knowledge of financial planning and reporting, taxation, and budgeting issues in the non-profit sector

· General understanding of legal reporting requirements and human resources regulations as they apply to a non-profit

· Competent use of Office 365, particularly Excel spreadsheets, and Sage and Quickbooks accounting software


Job Qualifications

· Requires Bachelor’s degree or equivalent, preferably in accounting, finance or related field

· 5+ years of related experience in a non-profit setting
