Overview:

Under the supervision of the Chief of Staff, the Administrative Assistant serves as the administrative and communications liaison to the Board of Trustees and provides administrative support to the Executive Director/CEO and Chief of Staff.

Essential Job Functions:

  • Generate and maintain Board records and Trustee information, including meeting materials (agendas, minutes, reports, PPT’s, etc.), rosters, evaluations, manuals, schedules, and other documentation.
  • Organize and attend Board and committee meetings; draft minutes and address follow up and action items.
  • Liaise with Board and committee leadership to facilitate Board communications.
  • Assist the Chief of Staff with governance projects as assigned.
  • Facilitate and manage logistics for special projects and drive completion of deliverables.
  • Assist Executive Director/CEO with calendar management and other administrative tasks.
  • Draft, edit, and proof Executive Director/CEO general correspondence.
  • Produce speaking points, presentations, articles, and reports.
  • Organize national and international travel for Executive Director/CEO.
  • Plan and organize meetings, events, dinner programs and receptions.
  • Accurately track and document Executive Director/CEO’s expenses and reimbursements.
  • Represent the Museum at programs and other community events as required.

  • Ability to manage multiple tasks and projects with high energy and strong problem-solving skills.
  • Ability to effectively work under pressure, use independent judgment and produce a quality work product within tight time constraints.
  • Ability to follow complex oral and written instructions; interpret and present information effectively.
  • Excellent communication, listening and interpersonal skills.
  • Ability to interface at all levels of the organization and with internal and external contacts; requires exceptional discretion and follow-through.
  • Ability to anticipate challenges, take initiative and provide solutions to achieve department and organization objectives.
  • Must be able to quickly and accurately assess priorities.
  • Proactive in meeting important deadlines.
  • Highly organized and detail oriented.
  • Ability to maintain strict confidentiality of highly sensitive data, records, conversations.
  • Excellent verbal, writing and editing skills: English usage, spelling, grammar, punctuation, and vocabulary.
  • Adaptable to changing business situations and environments.

Requirements:

  • BA or equivalent + 2 years relevant experience
  • Occasional weekend and evening work
  • Proficient in Microsoft Office including Word, Outlook, Excel, Publisher, and PowerPoint. Familiarity with Salesforce or similar database systems.
  • Proficient in PC platform
  • Valid driver’s license
  • Ability to lift 20lbs
  • Ability to be seated/standing for extended periods
