Description

The mission of the Volunteer Lawyers Project of Onondaga County, Inc. (OnVLP) is to provide access to justice through engaging the legal community in volunteer service to those in need. OnVLP receives funding from a variety of public and private sources and enjoys strong support of local bar associations. OnVLP collaborates with all legal services providers in the area to ensure that programming is targeted to meet unmet civil legal services needs. Programs are designed to work closely with community partners. OnVLP currently serves over 3,000 clients annually, with a staff of 12, a volunteer panel of over 700 attorneys and law students, and a budget of nearly $1 million.

 

Position Description

 

Reporting to the executive director (ED), the director of finance and administration will continue to build and manage effective and streamlined administrative/financial systems, including financial, accounting, information technology (IT), human resources (HR), and physical infrastructure.

 

As a member of the senior management team, the director will be involved in strategic planning, evaluation, and professional development initiatives, as well as planning for OnVLP’s continued growth. 


Financial Management

  • Oversee budgeting, financial forecasting, and cash flow for administration of all programs, current and prospective grants.
  • Review and approve preparation and finalization of monthly, quarterly and annual financial reporting materials and metrics for OnVLP’s Executive Director and Board of Directors.
  • Carry out grant fiscal reporting and compliance on monthly, quarterly and annual basis.
  • Supervise the part-time bookkeeper and ensure that financial transactions are being correctly accrued, recorded and assigned to appropriate classes.
  • Coordinate audit activities.
  • Additional responsibilities as assigned by the Executive Director.


Administrative Leadership and Management

  • Serve as a business partner to the ED on OnVLP’s administrative processes—including office management, information technology, data management, HR, payroll, and benefits functions—with an eye to continuously developing and improving systems.
  • Lead IT efforts and plan for the future needs (hardware and software) as the organization grows.
  • Manage the organization’s physical infrastructure and system maintenance (case management, document management, phone system, supplies, etc.).

·        Work with the Executive Director to train, mentor and supervise key staff, which includes administering human resources practices. Directly supervise administrative staff and volunteers in the office. Recruit administrative volunteers to help with organizational operations.

·        Responsible for running payroll, tracking paid time off, and other HR day to day needs.

·        Responsible for day to day office management and admin tasks, such as making office supplies orders, communicating with vendors, etc.

  • Additional responsibilities as assigned by the Executive Director.


Minimum Qualification Standards:

 ·        Bachelor’s Degree.

·        Experience in non-profit accounting and financial management.

·        Experience with the fiscal aspects of grant writing, implementation and reporting strongly preferred.

·        Technology savvy, with an ability to work with consultants to develop and implement new systems that increase efficiency and performance.

·        Experience working with (or volunteering with) vulnerable and diverse populations preferred.

·        Availability to work 8:30am - 4:30am Monday through Friday, plus flexibility to attend meetings and other events both onsite and offsite outside of those work hours when required.
