The Midwest Innocence Project (MIP) is a 501(c)(3) non-profit legal defense organization dedicated to freeing people convicted of crimes they did not commit in our five-state region (MO, KS, NE, IA, AR), supporting them upon release, and changing the system to prevent wrongful convictions in the first place. The MIP seeks a candidate for a full-time Office Manager/Administrative Assistant position in its Kansas City, Missouri office.


The Office Manager/Administrative Assistant plays an important role in supporting the organization and will have day-to-day responsibility for administration at MIP including bookkeeping, financial reporting, taxes, procurement, human resources, payroll, property and risk management, office technology, and such other matters as may be assigned by the Executive Director. Duties include the following:

  • Manage bank accounts, taxes, bill payments, payroll, benefits and bookkeeping (QuickBooks Online).
  • Receive, process, and distribute incoming mail and email; post and send outgoing mail.
  • Maintain compliance with licensing, insurance, charitable solicitations, tax, grant reporting, and other governmental requirements for non-profit and law office management.
  • Monitor all incoming donations and oversee accurate documentation, processing, acknowledgment and reporting of the same; enter data into donor management system.
  • Manage contracts and all interactions with landlord and contractors.
  • Oversee effective operation of all IT and office equipment.
  • Track and order office supplies; maintain office machines and service contracts.
  •  Support the Executive Director with calendaring, mailings, and in-office event preparation tasks.
  • Track and manage equipment inventory.
  • Create tracking and invoicing system for grants
  • Onboard new employees; order equipment, setup software & licenses, paperwork, etc.
  • Assist with event management and coordination; track sponsorships, coordinate vendors, manage auction items, etc.
  • Assist with Annual Report from conception to distribution.
  • Complete end of year financial responsibilities; 1099 filings.
  • Support annual audit by providing necessary financial reports.


 Qualifications:

  • A Bachelor’s degree and commitment to social justice required;
  • Proven office management, administrative or assistant experience
  • Excellent time management skills and ability to multi-task and prioritize work
  • Knowledge of accounting, data and administrative management practices and procedures
  • Proficiency with the following systems strongly preferred: QuickBooks, Neon CRM, Slack, Constant Contact, Office Suite, Dropbox, and WordPress.

Salary

$40,000 - $47,000
