Position Information: Coast Guard Community Festival Director

Reports to Executive Director.

Part-time, year-round.

Hours for this position vary throughout the year, ranging from 5 to 20 hours per week, with highest allocation in springtime.

Nature of Work

The Festival Director is responsible for planning and executing the annual Coast Guard Community Festival, which takes place the first week of May and is intended to (1) celebrate Coast Guard families and (2) provide public education regarding the Coast Guard in Cape May County. Under the oversight of the Executive Director, the Festival Director will build a Festival Committee and coordinate their work.

Essential Duties and Responsibilities

Administrative / Communications

·      Manage and adhere to the Festival budget.

·      Create a long-term plan for Festival development.

·      Interface regularly with contacts at Festival partner organizations, especially U.S. Coast Guard.

·      Oversee creation of Festival Program Book or similar publication.

Event Planning

·      Work with contacts at Training Center Cape May to secure Coast Guard assets for Festival tours and demonstrations.

·      Recruit and coordinate all Festival vendors & community group exhibitors.

·      Coordinate check-in of all Festival vendors, community groups, and other participants.

·      Together with site team, create the look and feel of the Festival grounds using signage, entryway, flags, banners, etc.

·      Have tickets printed for all applicable Festival events. Arrange with Coast Guard for distribution of free tickets, including ethics approval.

·      Manage ticket sales associated will all Festival events, including extended weekend events such as Coast Guard Ball.

·      With local police, create and implement parking plan for the Festival, including the contracting and management of parking trolleys/shuttles.

·      Oversee development and creation of merchandise for Festival; set up point of sale system for sales; keep inventory; manage cash; provide financial reports post-Festival.

·      Order and distribute Festival-related supplies, including prize for kids’ games, face paint, giveaways, etc.

·      Hire and coordinate band, DJ, bounce house, and other Festival entertainment.


·      Seek to add Festival events organized by other community groups to Coast Guard Festival weekend. Define a set of parameters for event listing in marketing materials. Facilitate and coordinate the inclusion of these additional events (i.e., athletic events, art shows, dinners, picnics, etc.)

·      Assist with development of Festival sponsorship program and participate in fundraising activities as requested. Together with Development Chair, ensure sponsors are recognized at Festival.

·      Develop connections with related community groups to ensure their robust participation in the Festival.

·      Ensure all Cape May County municipalities are represented in Festival activities via sponsors, vendors, exhibitors, or other forms of participation.

Knowledge, Skills & Abilities

·      Knowledge of best practices for event planning.

·      Skilled in use of computers for word processing, financial management, internet and web applications.

·      Ability to communicate clearly and precisely, both verbally and in writing.

·      Ability to listen well and be perceptive.

·      Ability to interface between and among large organizations.

·      Ability to delegate appropriately. 

Minimum Requirements

·      Interest in Coast Guard Community designation and military support activities.

·      2-3 years experience in planning large-scale events.

·      Excellent organizational skills and attention to detail.
