    Studio Institute, LLC (Studio) seeks an experienced, enthusiastic, empathetic, and collaborative Associate Program Manager to coordinate, oversee, and support the Bloomberg Arts Intern college program.

    The ideal candidate for this job will have experience in both visual and performing arts and possess exceptional organizational and communication skills. The ability to work independently and collaboratively in a dynamic environment is crucial, as is the willingness to travel. Additionally, they should have experience providing effective supervision and leadership to a team.

    The associate manager will report to the Program Manager Arts Intern, College and is an exempt full-time position and provides support and guidance to a part time team across multiple cities during the program implementation period.

    Based upon its 40 years of successful impact in visual arts education, Studio in a School formed Studio Institute (Studio) in 2016 with the goal to expand our scope, providing programs and creating new partnerships with communities and cultural organizations nationwide. Studio is currently working with partners in Boston, Baltimore, Chicago, Cleveland, Memphis, Newark, New York, Philadelphia, and Providence.

    The Bloomberg Arts Intern program provides exciting and challenging paid summer internships to college students within arts and cultural organizations. The program launched in the summer of 2024 in four cities: New York, Boston, Baltimore, and Philadelphia. Based on this early success, the program will expand to include Washington, DC for the summer of 2025.

    Primary responsibilities include:

    Program Implementation and Oversight:

    • Foster a collaborative and inclusive work environment.
    • Assist in the development and implementation of strategic plans for program growth and sustainability.
    • Responsible for recruitment and placement of interns across all program cities.
    • Manage data tracking systems to ensure accurate and timely data collection.
    • Support recruitment, training, and supervision of program coordinators.
    • Hold regular meetings with the program coordinators to track program progress, successes, challenges, and support needs of interns.
    • Compile and submit comprehensive progress reports to program manager and senior leadership.
    • Collaborate with key visual and performing arts institutions and speakers to design and implement the Program Day Curriculum. Ensure effective program day execution across program cities.
    • Develop and maintain records of intern schedules and attendance for accurate timesheet reporting.
    • Prepare materials for meetings and exhibitions and ensure timely distribution.
    • Coordinate refreshments for meetings across multiple states and cities.
    • Some travel to participating cities required as needed.

    Intern Support and Host Site Collaboration:

    In collaboration with program manager:

    • Develop and strengthen relationships with new and existing partner host sites.
    • Provide ongoing support and guidance to interns for a positive experience.
    • Conduct site visits to gain firsthand knowledge of intern experiences and site operations.
    • Facilitate communication with interns, host sites and program coordinators to enhance internship experiences.
    • Address issues or concerns raised by interns or host sites promptly and effectively.

    Data Systems and File Management:

    • Design efficient and accurate data collections systems for monitoring and tracking to be implemented across Studio Institute programs.
    • Contribute to data tracking and analysis for funder reporting, budget management, and planning across Studio Institute programs.
    • Develop file management systems and processes.
    • Manage MS365 application systems and Google Workspace and provide overall support with these systems across programs.

    Storytelling and Public Relations:

    • Collaborate with the marketing and communications team to implement a communications strategy that promotes program achievements.
    • Create channels for documenting compelling stories and case studies to highlight participant successes.

    Education and Professional Experience

    • Bachelor’s degree in a relevant field. Master’s degree preferred.
    • Experience in program management or coordination, ideally within an educational or arts-based setting.
    • Experience working with young adults with diverse backgrounds, experiences, and interests.
    • Experience developing data collection systems and performing data analysis to inform program improvement.
    • Experience setting up file management processes in MS365 and Google Workspace.
    • Outstanding interpersonal and communication skills.
    • Ability to work independently and collaboratively across various groups.
    • Familiarity working with cultural organizations in the visual and performing arts.

    Other requirements

    • Be fully available to support programs and events outside of regular work hours, such as Saturdays and evenings
    • Be fully available to travel. Travel is required as part of the core functions of the position.
    • Be fully available to work May through August during peak program operations.

    Location

    We are currently working on a hybrid schedule. The associate manager will be asked to work four (4) days per week in our office at 410 W 59th St, New York, NY, and one (1) day per week remote though this schedule may shift and evolve.

    Vaccination and Masking Policies

    Studio Institute recommends that all new hires be fully vaccinated and boosted against COVID-19 prior to the start date. It is optional for employees to wear a well-fitting mask in our office when the NYC COVID-19 Community Risk Level is “moderate” or “low” based on the CDC website. However, mask-wearing in our office is still required when the NYC COVID-19 Community Risk Level is “high” based on the CDC website.

    Salary

    $64,000 – $75,000 annually, dependent on experience and qualifications. This is a grant funded position, currently secured for a two-year period.
