Summary

The Part-Time Program Manager will manage and provide assistance for the Administrative and Constituent Services functions of the Program Management Department.  These functions include Marketing, Program Management and Recipient Responses.

Essential Duties and Responsibilities

Administrative Support 

■ Work on projects as assigned by Director Program Management, using various applications including Microsoft Office Suite (Excel, Outlook, Word, PowerPoint, SharePoint), project management (Asana), video conferencing programs, and other similar software.

■ Maintain customer confidence and protect operations by keeping information confidential.

■ Prepare reports by collecting and analyzing information.

■ Handle multiple competing priorities in a fast-paced environment.

■ Provide administrative assistance such as drafting memos and preparing communications on behalf of the Program Management Department.

Constituent Services/Recipient Response

■ Provide process management support to the constituent service response team, including communication with individuals who received an RIP letter of abolishment, responding to inquiries from external parties, and connecting and following up with appropriate internal parties to successfully resolve all inquiries.

■ Coordinate the full process for inquiries originating from various channels such as mail, email, website, and telephone. Log new incoming inquiries received via telephone and mail manually into the project management system.

■ Assign incoming inquiries for resolution to the appropriate personnel within individual departments of the Organization including Info Systems, Development, and Debt Operations, or Administration to answer constituent/recipient letters where applicable.

Other Duties and Responsibilities

■ Perform other tasks as may be assigned by management or supervisors from time to time.

■ Adhere to the organization's conflict of interest and code of ethics and policies.

Required Work Experience

■ Three to five years of project or program management experience. 

■ Former experience in Healthcare, Public Health, Non-profit or Business Industry. 

Required Skills

■ Strong oral and communication skills.

■ Meticulous attention to detail and high level of accuracy.

Required Education

■ Bachelor’s Degree is a plus but is not required.

■ Project Management Certification is a plus but is not required.  

Other Desirable Skills, Experience, Education, Licenses, Certifications, etc.

■ Microsoft Office Suite
