As the network’s largest partner, AFS-USA works to increase the global competency of U.S. citizens by providing a variety of international and intercultural learning experiences to individuals, families, schools, and communities. We are proud of our Staff of approximately 200 dedicated individuals, working from our national office in New York City as well as home offices across the county, who collaborate with our more than 4,000 AFS-USA Volunteers to deliver high quality programs and global education resources. These include: immersion based study abroad experiences in over 40 countries worldwide; opportunities to host foreign AFS exchange students; and global learning workshops and curricula for educator, schools and businesses.
The US Sending Onsite Travel Assistant works alongside the U.S. Sending Travel and Logistics Coordinator to fulfill all the necessary tasks required to provide seamless orientation experiences to hundreds of AFS participants before they depart on programs abroad. The Assistant works closely with his/her supervisor, the Orientation Coordinator, the rest of the Travel Department, and AFS volunteers. A communicative, thorough, and responsible individual, the Assistant will work in the office and spend several days and nights at orientation sites in the New York area to ensure these events run smoothly.
IN THE OFFICE:
Assisting US Sending Travel and Logistics Coordinator with preparation of materials, follow-up with orientation sites, and communication with airport staff.
Compiling domestic arrival schedules for Sending Orientations, including contacting parents and students for domestic flight information
Coordinating logistics for NY orientation sites, including rooms, meals and meeting space
Creating bus schedules and ordering shuttle buses
Preparing all necessary materials for orientation sites
Liaise between Orientation Coordinator and Orientation Site
Required to work long hours, some evenings and some weekends
AT THE ORIENTATION SITE:
Assistant will be on location at NYC area college or airport hotel for multiple summer orientations for between 1-5 days/nights at a time, serving as key travel and logistics staff member
Registering arriving students including collecting domestic e-ticket receipts and passports,
Work with/train volunteers to assist
Work with the Orientation Coordinator and Group Leaders to coordinate unloading and loading of busses
Coordinate with airport staff when flights and/or busses are delayed
Work with hotel/housing staff to finalize rooming lists and meals
Be available 24 hours/day to respond travel or logistical problems during NYC orientation events
QUALIFICATIONS & SKILLS:
Excellent problem-solving skills
Works well under pressure
Available to work overtime and weekends, including staying at orientation sites overnight
Attention to detail, high-level of organization, and flexibility are a must
Works well with people over the phone, via email, and in-person
Study abroad, living abroad, or travel experience helpful
Excellent computer skills as pertains to Microsoft Excel and Word
Valid driver’s license. Must drive in NYC/Long Island area for orientations
Must be available from 15 May to 10 September.
