Title: Individual Giving Administrator

Department: Development

Reports To: Director of Development

Work Schedule: 9:00 am - 5:30 pm Monday through Friday

Nature of Position: This is a full-time, non-exempt position that includes full benefits.

Location: Washington, DC


Summary: The Individual Giving Administrator provides support in all aspects of the individual giving program in PFLAG National’s development department. In addition, the Individual Giving Administrator works with all aspects of the PFLAG National database as it relates to fundraising, including data entry.


About Us: PFLAG National is the first and largest organization for lesbian, gay, bisexual, transgender, and queer (LGBTQ) people, their families, and allies. PFLAG National has more than 200,000 members and supporters and over 400 chapters in the United States. This vast grassroots network is cultivated, resourced, and serviced by the PFLAG National staff, Board of Directors, and Regional Directors Council.


Duties & Responsibilities:


Individual Giving

  • Processes donations and ensures the accurate and timely entry of donation information
  • Processes Guardian (monthly) donations, supports strategy to increase number of monthly donors and to follow up on declined gifts
  • Prepares and sends acknowledgment letters for all individual gifts, tribute gifts, and other special acknowledgments
  • Responds to donor inquiries from various sources, including but not limited to phone, email, and social media, in a timely manner
  • Fulfills individual member benefits
  • Assists in donor cultivation strategies and prospect research

Database and Records

  • In collaboration with all PFLAG departments, supports data entry for all types of income, as well as donor and member information
  • Maintains donor and prospect records in both electronic and paper form
  • Follows established business rules, database standards, and best practices related to data entry and supports other departments to ensure data integrity
  • Pulls data lists in support of development, communications, and chapter engagement departments and sends email blasts to donors
  • Pulls data for acknowledgments processed outside PFLAG’s office

Direct Mail Program

  • Works with the Director of Development to communicate with direct mail vendors to ensure budget, strategy, and timeline targets are being met
  • Assists in researching and proofreading copy and materials for direct-mail acquisition and appeal campaigns
  • Communicates with caging company vendor about keying donations and acknowledgment processes

Miscellaneous

  • Provides general department support, including internal and external communications
  • Other duties as assigned by supervisor

Minimum Qualifications:

  • Bachelor’s degree or equivalent experience
  • Excellent interpersonal communication and writing skills
  • Well organized and detail-oriented with a collegial working style
  • Comfortable working with remote employees
  • Knowledge of donor/CRM databases
  • Solid computer experience, including use of the internet, Google Suite, and Microsoft Office

Desirable Skills:

  • Experience with Salesforce and/or Salsa
  • Experience in nonprofit fundraising and/or with grassroots membership organizations
  • Experience with general office equipment including network and desktop copiers, scanner, postage meter, projectors, telephone systems, and video calls/meetings, among others
  • Flexibility to travel, work evenings and weekends as needed, but rarely

Salary range is $37,969-$45,561, commensurate with education and experience. This position is part of a bargaining unit represented by the Office and Professional Employees International Union, Local 2, AFL-CIO.
