Development and Administrative Senior Manager

The Development and Administrative Senior Manager of HOPE, based in the Los Angeles office, and under the direction of the CEO, will have a key role in fundraising and organizational administrative functions for HOPE.  The ideal candidate will be able to balance both the responsibilities of fundraising, grant research and reporting with the organizational financial management and human resources assignments.  If your experience in grants is still developing, we are open to providing necessary training.  If your experience and interest is solely either fundraising or administrative management - but not both, please share that in your cover letter.  HOPE will require some amount of financial organizational management, but we also work closely with a bookkeeping consultant and audit firm to manage some of those responsibilities. 

Fundraising, Grants Management:  

·       Conduct and Assist the CEO in developing a strategy for acquiring event sponsors which

includes: development of sponsorship packages, drafting sponsor letters and

tracking engagement of prospective sponsors, ensuring sponsorship deliverables

have been met, and supporting outreach efforts to sponsors.

·       Conduct foundation and corporate research to identify funding opportunities. Draft background

information briefs on prospective funders.

·       Write grant proposals and grant reports in a timely fashion; manage 10-15 grants simultaneously.

·       Establish program and organization budgets for grant requests.

·       Understand grant activities and reporting requirements and work with staff to produce grant

reports. Provide necessary collateral for reports including financials, budget,

and related attachments.

·       Responsible for HOPE’s individual giving fundraising, Friends of HOPE, including prospect/donor call coordination and briefing materials associated with activities for potential individual donors; responsible for core fundraising metrics including early prospect outreach

(cold calling), face-to-face visits, identification of new prospects, growth in

cumulative giving, dollars raised, and donors secured.

  • Track and report fundraising metrics to CEO and Senior team; ensure proper stewardship and recognition of donors in portfolio.
  •    Maintain grant, and donor databases (excel and salesforce).

·       Draft quarterly funder update letters, letters of introduction on behalf of the CEO, and Letters of Interest.

·       Schedule meetings for the CEO. 

Administrative Management - Organizational Finance:

·       Financial management of HOPE’s finances including basic accounting, managing the

organization’s bank accounts and investments, monitor use of Campaign credit

cards, reimbursements and check processing. 

·       Supervise accountant / bookkeeper consultants to ensure financial records are accurate and in compliance with regulatory requirements. Assist with the yearly audit of the organization’s financial statements.

·       Support the development of monthly financial statements including Cash Flow, Income & Expense and the Balance Sheet.  Track monthly projections.

       Work with the CEO and senior management team to create the organization and program budgets; monitor monthly expenditures to ensure the organization stays within budget.

Administrative Management - Organizational Staff and Board Management:

·       Serve as the liaison with HOPE’s Board of Directors

including, but not limited to scheduling meetings, coordinating travel for

board meetings, processing reimbursements, corresponding with assistants, and

preparing financial or administrative reports to the Board as directed by the

CEO. 

·       Oversee daily operations of Los Angeles office

·       Review vendor, consultant, and independent contractor agreements and contracts.

·       Coordinate with our IT vendor to ensure technical needs are operating smoothly in both offices.

·       Oversee implementation of systems and procedures, anticipating and addressing the organization’s needs.

·       Manage Human Resources compliance including employee benefits, Personnel Policies, and record keeping. Develop and maintain employee files, including new hire paperwork, performance documentation, and termination paperwork for full-time, part-time staff, consultants and interns.

·       Ensure overall legal compliance of the organization and non-profit status.

·       Provide assistance to the CEO

·       Participate in and support program activities and event planning.

·       Other duties as assigned to support overall goals of the organization.

Desired Qualities, Skills and Experience

Strongly supportive of the mission and approach of HOPE.

·       Fundraising and grant management required.

·       Experience in bookkeeping, organizational financial management preferred.

·       Highly trustworthy and reliable, comfortable executing and proactively carrying forward job

responsibilities.

·       Ability to balance multiple projects at once, excellent time management skills and strong

attention to detail.

       Comfortable working in a small team environment.

·       Able to deliver constructive feedback and incorporate it to improve work product.

·       Professionalism and ability to engage with diverse interest groups and individuals.

·       Ability to maintain confidentiality.

·       Comfort working in a quickly evolving, often changing, and fast pace work environment.

·       Bachelor’s Degree required and four years minimum of relevant work experience.

·       Familiarity (or ability to quickly learn) key computer programs including salesforce, and Microsoft Office Suite.  Knows Zoom and other key online virtual programs. Must be somewhat tech savvy or willing to learn.

·       Superior written and oral communication skills.
