Purpose
The Client Services Coordinator contributes to the fulfillment of Meals on Wheels of Albuquerque (MOW) mission by ensuring that all clients receive products and services along with exceptional customer service to maximize client satisfaction.
Reporting Relationships
This position reports directly to the Program Director
Accountabilities
· Expedite client participation in the program by conducting client intake interviews, processing intake forms, and processing sign-up payments
· Enters and maintains client information into ServeTracker (Access) data system for all clients, including Private Pay, LIFE Program, and Third-Party Payers
· Manages client entries and daily overnight mailings for Presbyterian Readmission Program and/or other mail-to clientele
· Prepares daily reports including client labels, route sheets, and packing lists
· Prepares and mails all pertinent client correspondence including, but not limited to, welcome packets, satisfaction surveys, exit surveys, program change and missed meal notifications.
· Works with Volunteer Coordinator to ensure proper information is given to site coordinators each day
· Helps ensure client safety by keeping accurate records of all daily deliveries, and does follow-up phone calls when a client misses their meals.
· Maintains accurate client files
· Answers phone inquiries related to the program
· Provides up-to-date reporting on meal counts for various entities
· Manages the Low-Income Food Enrichment (LIFE) Program, including intake or cancellation of clients on the program
· May require deriving meals to clients using own vehicle
· Other assigned duties when necessary
Requirements
· Minimum of three years’ experience managing people, processes, or programs
· Excellent organizational skills and efficient use of time
· Intermediate computer literacy including in-depth knowledge of Microsoft Office and internet functionalities
· Consistently provides excellent customer service
· Has positive attitude and does whatever it takes to fulfill job and mission
· Performs accurate and quality work
· Follows rules and procedures set forth in MOW Employee Handbook
· Attends appropriate meetings and is prompt and participates
· Must possess a valid driver’s license
