Program Assistant duties and responsibilities include data management and administrative support to ensure efficient operation of non-profit child advocacy agency. Position requires good time management skills, ability to multi-task and prioritize work, and ability to work independently. Attention to detail, excellent written and verbal communication skills, and strong computer skills are important. Must be able to manage confidential information. While all applicants are welcomed, this position is a good fit for individuals interested in learning more about the child welfare, systems advocacy, or non-profit sectors.

 QUALIFICATIONS: Must be 21 years of age. Must be proficient with Microsoft Office Suite, including Word, Excel, and Outlook, and must be willing to learn on-line case management system. Bachelor’s Degree preferred. 

RESPONSIBILITIES:

o  Performs clerical and data management duties to support Executive Director, Program Director and Program staff – duties may include, but are not limited to:

-       Entry of case and volunteer related data into case management database software.

-       Management of initial case assignment paperwork, including generating, sending, and tracking all pertinent intake documents.

-       Management of new volunteer applicant paperwork, including collection, tracking, and follow up on incomplete items.

-       Management of required on-going paperwork for all active volunteers, including maintenance of clearance tracker and follow up on expiring items.

-       Entry of on-going volunteer training hours.

-       Management of court hearing calendar, including review of dockets and notification of staff and volunteers of hearing date and time. 

-       Regular scheduling and completion of quality assurance checks of data, to ensure all required fields are completed and data is kept current and accurate for all cases.

-       Responsibility for generating any demographic or activity reports needed by Program Director or Executive Director for funder applications or reports.

-       Communication with program staff regarding status of case management data, including prompting for updates and notification of missing or incorrect information.

 

o  Provides clerical and technological support to volunteers – duties may include, but are not limited to:

-       Participation in training for new volunteers around use of case management database.

-       Availability to all current volunteers to help problem-solve around case management database.

-       Communication with volunteers regarding status of case management data, including prompting for updates and notification of missing or incorrect information.

-       Creation of training materials regarding use of technology as needed to support current volunteers.


o  Provides case support to program staff as needed - duties may include, but are not limited to:

-       Participate in meeting, trainings, conferences and report back information to Program staff as appropriate.

-       Assist with other Program related activities as interest and ability allows.

 

o  Other duties as assigned
