Summary

The Board on Agriculture Assembly and The Council for Agricultural Research, Extension, and Teaching (CARET) of the Association of Public and Land-grant Universities’ (APLU’s) Office of Food, Agriculture and Nature Resources (FANR) seek a Senior Associate to provide programmatic, logistical, and administrative support. The incumbent will coordinate all aspects of logistics for conferences, webinars, meetings, including scheduling and monitoring CARET’s budget. Successful candidates will have strong programmatic and administrative support skills, a facility with Excel and data, and possess a keen attention to detail. This full-time position is based in Washington, DC. Employees are working remotely from locations within DC, MD, VA through April 1, 2022 due to COVID-19. The Board on Agriculture Assembly (BAA) is a unit of the Association of Public and Land-grant Universities (APLU) Commission on Food, Environment, and Renewable Resources (CFERR). The BAA works to promote agriculture in all of its phases (food, environment, agriculture, natural resources, and international) in the state universities and land-grant colleges of the 50 states, the District of Columbia, the Commonwealth of Puerto Rico, the territories of the Pacific, and the U.S. Virgin Islands. The Council for Agricultural Research, Extension, and Teaching (CARET) is a national grassroots organization of volunteers created in 1982 by the BAA of APLU. CARET seeks to enhance national support and understanding of the land-grant university system’s food and agricultural research, extension, and teaching programs that enhance the quality of life for all people. Both functions are managed through the FANR.


Responsibilities

The position’s primary duties and responsibilities of the incumbent include, but are not limited to, the following:

  • Coordinate all logistical and administrative aspects of CARET, the BAA’s standing committee meetings and events (in-persona and virtual) on policy, budgets, and legislation as well as BAA sections (including the International Agriculture Section), including notetaking, resource/materials preparation, agenda management, contract preparation, hotel accommodations, refreshments, etc.
  • Support the Board of Human Science’s evaluation activities by collecting and managing the storage of participation data, preparing data for entry into common data systems, and creating simple visualizations and infographics of data from registration reports, polls, and simple surveys.
  • Support the implementation of workplans for assigned projects/activities related to membership management, engagement, and coalition building.
  • Provide administrative support related to project finances and reporting, including tracking and reconciling grant expenditures, developing sponsored project office contacts at member institutions, drafting and coordinating vendor and sub-award agreements, and managing invoicing and other reporting requirements from vendors and sub-awardees.
  • Draft and administer conference evaluations, conduct surveys, and tabulate and present results.
  • Coordinate the CARET webpage, making sure that content is accurate and up to date.
  • Coordinate data management, including ensuring data is up to date in APLU’s Customer Relationship Management (CRM) system (Microsoft Dynamics). 
  • Draft and edit communications in Marketo to member groups connected via the CRM, including BAA sections and committees.
  • Maintain positive relations with a diverse group of stakeholders and constituents through in-person, virtual, and email interactions.
  • Support an inclusive climate in the Office of FANR and APLU.
  • Provide other support as needed to support the goals and objectives of the Office and APLU.

 

Qualifications

  • Bachelor's degree preferred plus three or more years of experience working in higher education and/or a non-profit setting providing administrative, logistical and/or programmatic support.
  • Ability to balance multiple tasks and priorities, to resolve problems, to meet important deadlines, and to recognize potential issues and bring them to the attention of the appropriate team members.
  • Demonstrated ability to work both as part of a team and independently, taking direction from, learning from, and communicating with a supervisor as well as multiple team members and APLU/CARET members to keep track of activities and priorities on multiple projects. 
  • Experience planning and coordinating events, including workshops, webinars, and conferences.
  • Outstanding communication skills, including written and oral, which must be effective and courteous, requiring high integrity when dealing with a broad array of backgrounds and cultures.
  • Demonstrated organizational skills, attention to detail, problem-solving skills, and communication skills.
  • Facility using Excel or other spreadsheet software to organize, clean and manipulate simple data, and create basic data visualizations such as charts, tables, and graphs.
  • Commitment to the work of the FANR Office, APLU and APLU’s values of diversity, equity, and inclusion.
  • Ability to travel domestically as needed.
