Summary: 

The Southern Poverty Law Center (SPLC), seeks a Legal Administrative Assistant to support our legal staff in our Tallahassee office. We are seeking an experienced/seasoned assistant with experience in dealing with multiple attorneys and Center staff in a fast-paced environment.

Primary Job Functions:

  • Assists attorneys and paralegals with case management and administrative support as directed;
  • Handles printing, copying, and distribution of documents as directed;
  • Processes requisitions, invoices, and expense vouchers as directed;
  • Receives, sorts, and distributes incoming and outgoing mail, packages, faxes, etc.;
  • Acts as the receptionist, greeting and directing all visitors or callers;
  • Schedules and participates in office and other meetings as directed;
  • Monitors and schedules staff use of, and maintenance and repairs for, the company car;
  • Catalogs, orders, and maintains office supplies;
  • Creates and maintains general office files – both hard copy and electronic, and saves documents to Time Matters (TM) database;
  • Maintains shared office calendar and event boards for conference rooms;
  • Assists with maintenance of law library – filing pocket parts and updating inventory lists on TM;
  • Provides administrative process support to staff on mail, FedEx, interoffice mail, postage meter, fax machine, printers, copiers, supplies, phone systems, outlook calendar, IT help ticket system, etc.;
  • Assists staff with travel arrangements, including hotel, airfare, and rental car reservations, as needed;
  • Provides backup to Legal Office Administrator in Miami and/or Paralegal as needed.

Qualifications –

Education and Related Work Experience:

  • Excellent organization and time management skills;
  • 3 years of experience with office administration; and
  • Commitment to diversity, equity and inclusion.  

Knowledge, skills and abilities:

  • Excellent communication, telephone, and interpersonal skills;
  • Excellent writing/grammar skills;
  • Excellent computer skills, including proficiency in word processing, spreadsheet, and data programs;
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands;
  • Ability to work collaboratively with a team;
  • Strong organizational skills, follow-through, and flexibility around changing priorities and deadlines;
  • Must be highly organized and possess the ability to prioritize work; and
  • Must be able to work under pressure. 

 

Other Special Considerations:

This position is represented by the Washington-Baltimore News Guild.

This job is performed under general office conditions and is not subject to any strenuous physical demands or dangerous conditions.
