Administrative & Bookkeeping Duties

·        Handle daily routine administrative tasks: E-mail inquiries, phone messages, office supplies & equipment, vendor communication

·        Coordinate & maintain program calendar

·        Schedule tours for potential new families

·        Assist Executive Director and Program Coordinators with preparation of program & summer camp schedules

·        Update registration materials and manage student horsemanship program & camp enrollment

·        Assist with Therapeutic Program enrollment and volunteer enrollment

·        Maintain membership & board directory

·        Assist with program invoicing & collection of payments

·        Prepare & make bank deposits

·        Coordinate with payroll company & maintain staff payroll documents

·        Prepare bi-weekly payroll and maintain staff roster for time off

·        Prepare agenda, attend and record minutes for bi-weekly staff meetings


Events

·        Assist with preparation of regular NCMT program events, review ceremony & horse shows.


Communication for Organization

·        Maintain website, FaceBook page and other social media

·        Maintain Google directories and E-blasts, Constant Contact/Mail Chimp


Fundraising Duties

·        Maintain donor & alumni database (Giftworks software)

·        Prepare donor thank you letters

·        Assist with publication of annual newsletter

·        Assist Executive Director and Fundraising committee with preparation of fund raising events

·        Track and record all donations


Required Skills & Education

·        Bachelor’s degree preferred

·        Detail oriented and organized

·        Strong computer skills (Word, Excel, PowerPoint, Google Docs/Gmail/Calendar, Payroll software)

·        Bookkeeping & QuickBooks skills

·        High degree of initiative, ability to multi–task & work with multiple personalities

·        Strong written and oral communications skills

·        Excellent Customer service skills

·        Horse lover a plus
