Title: 

Associate Director of Admissions

Reporting:

The Associate Director of Admissions reports directly to the Director of Admissions.

Role:

The Associate Director of Admissions is responsible for helping to represent Loyola School's programs to the public; working alongside and reporting directly to the Director of Admissions to cultivate an interest in Loyola School among young students seeking placement in ninth through twelfth grades. 

In the tradition of cura personalis (care for each individual across each of their dimensions), it is preferred that all members of Loyola Faculty/Staff also participate and engaged in the life of the school outside the classroom/office; an ability and desire to contribute to the co-curricular, athletic and spiritual life of the school is strongly encouraged.


OVERVIEW OF RESPONSIBILITIES:

● Conduct family and student interviews, and maintain accurate and complete files on each applicant.

● Maintain communication and follow-up with applicant families in a timely manner, via phone and email.

● Organize and co-lead the training of student tour guides with Admissions Associate; help to create tour schedules and conduct tours as necessary.

● Organize and assist in the planning of admissions events (in-person and virtual).

● Prepare prospective student files for review by the admissions committee and lead admissions committee meetings.

● Serve as an active member of the Financial Aid Committee, assess financial aid applications, and make award recommendations.

● Lead student revisit day program for 8th grade applicants and accepted students. Organize, coordinate and communicate effectively with applicants, student hosts, families and faculty. 

● Establish and maintain positive relationships with area schools and access groups. Expand outreach efforts to geographically diverse feeder schools.

● Attend and participate in school fairs and school visits (in-person and virtual).

● Help manage the application process from receipt of initial application through final decision communications.

● Work with the Director of Admissions to develop admissions materials, events, and marketing practices.

● Manage migration of applicants from external application portal (Finalsite Enrollment) to internal enrollment portal (Blackbaud) and ensure accuracy of enrollment records

● Assume additional duties as assigned by the Director of Admissions or the appropriate supervisor.

Other:

● Support the accuracy of the office’s database, tracking all applications and admissions materials.

● Work alongside the Associate to the Admissions and Technology Offices to guide the school social media effort by creating and posting content.

Status:

Exempt; not overtime eligible.  This position occasionally requires extra work, as well as attendance at many school held events.  Works periodic weekends and evenings, and travels locally and out-of-state.  

Typical Level of Interaction:

Requires interaction with all School departments in addition to current and potential students and families.

● Public Speaking Skills -  Ability to lead presentations to families, applicants and school leaders regarding Loyola and our application process with enthusiastic and engaging energy.

● Written Communication Skills - Effectively communicates broad and minor issues with all constituents. 

● Problem Solving Skills - Considers a wide range of internal and external factors when solving problems. Grasps complexities and perceives relationships among different problems or issues. 

Other Qualifications:

● Bachelor’s degree required

● Experience in Private School Admissions and/or enrollment preferred

● Computer skills, specifically Microsoft Office and database applications

● Ability to use and create meaningful content for social media (Instagram, Tik Tok, X, etc.)

● Strong interpersonal skills

● Ability to work within a team

● Writing/editing experience

● Strong sense of responsibility

● Creativity and flexibility

● Sense of humor
