AAAED Office Administrator Description
The American Association for Access, Equity and Diversity (AAAED), an association of equal opportunity, affirmative action and diversity professionals, is seeking a candidate to fill a part-time Office Administrator position. The Office Administrator provides management and administrative support for the Washington, D.C. office of AAAED. The successful candidate will report to the AAAED Executive Director. He or she may also assist with the administrative work of the Fund for Leadership, Equity, Access and Diversity (LEAD Fund), the nonprofit affiliate of AAAED.
The Office Administrator’s responsibilities include but are not limited to:
Board and Conference Assistance
Provide assistance to the AAAED Board and Executive Committee for monthly, quarterly and annual meetings. Support the AAAED annual conference including assembling board reports, conference apps and other materials, securing a location for meetings, making travel arrangements and other coordination, logistical, event management and accommodation requirements.
Handle office administration including filing, maintenance and archiving of association electronic and paper records; sort mail and handle space and facilities logistics; create or modify existing documents or database(s) in Microsoft Word, Access, Excel, Publisher and PowerPoint; and assist with the recruitment and oversight of temporary and internship staff. Serve as first point of contact by answering telephone calls and other inquiries from the membership and the public, including the media. Handle AAAED bills and collections. Assist with the maintenance of the AAAED’s listserv, social media accounts and website.
Serve as first point of contact for members and non-members (as appropriate) regarding requests for association membership services, processing membership registrations and benefits, maintaining the membership database, working with the Membership Chair to distribute membership satisfaction surveys and collect survey analyses. The Office Administrator also assists the AAAED Executive Director and AAAED Board to increase AAAED’s membership and raise the visibility of the organization.
Professional Development and Training Assistance
Assist the Chair of the Professional Development and Training Institute to deliver training by identifying locations for the training, assembling the materials, arranging travel, marketing, developing online registration site and processing registrations, handling professional development certificates and re-registrations, coordinating onsite logistics, providing technical support for webinar training, and other logistical support.
• Minimum of three years of office management experience, with preference given to association management, budgeting and event planning experience.
• Excellent written and verbal communication skills and attention to detail are essential qualifications needed.
• Strong computer skills including Microsoft Word, Access, Excel, Publisher, PowerPoint and database use required.
• The ability to work independently, develop schedules, manage multiple tasks and meet deadlines is also essential. Undergraduate degree required as is a willingness to travel to board meetings, professional development training and annual meetings.
• Experience with human resources and/or civil or human rights organizations is a plus.
