Job Opening: Operations & Development Coordinator

Supervisor: Executive Director

Hours: Full time, 35 hrs/wk

Salary Range: $42,000-$44,000 DOE (1 FTE)

The Tenants Union is a grassroots membership organization dedicated to safe, healthy, and affordable housing for everyone. Our goals are to help all tenants, especially low income tenants, solve their rental housing problems by learning and asserting their rights as tenants; organize within their buildings and neighborhoods to maintain and preserve decent and affordable rental housing; and mobilize for stronger tenant protections and greater accountability from the systems and institutions affecting their housing stability.

Job Summary: The Tenants Union is a collaborative work environment where all employees participate in planning and carrying out the organization’s mission and goals. The Operations & Development Coordinator works closely with the Executive Director to provide core administrative support for the TU programs and enact a growing fundraising plan. Duties will include special events, major donors, membership drives, data tracking, financials, and assisting the Executive Director in maintaining financial and grant compliance, assisting with membership communication, and related duties to ensure the organization runs smoothly.

Essential Responsibilities, Duties, and Tasks

Office Management (60%)

  • Increase TU effectiveness and efficiency through improvements to organization functions in Seattle and Spokane offices (HR, IT, Finance).
  • Lead organizational fundraising efforts and data management systems.
  • Maintain office and organizational calendar, schedule staff meetings, special events, and retreats.
  • Maintain up-to-date Quickbooks and Salesforce data to provide accurate financial and demographic data.
  • Coordinate Annual Meeting and assist staff in logistical needs for other workshops, events, staff retreats, and meetings
  • Order office supplies, monitor office technology and equipment.
  • Maintain files and other data, update and maintain Office Manual.
  • Maintain Hotline Phone System & Phonetree.
  • Monitor contract deliverables for contract employees.
  • Participate in staff meetings, retreats, and board meetings.
  • Process memberships, member kits, and donor thank yous
  • Other duties as assigned.

Development (30%)

  • Coordinate one fundraising event for the TU a year, including managing logistics and staff engagement in events.
  • Support major donor program, coordinating asks, staff roles, and materials.
  • Lead the integration of fundraising requests into ongoing regular TU events and programming.
  • Collaborate with grant writer to source prospective grant opportunities and provide all information necessary to submit TU grants.

Finance and Compliance (10%)

  • Coordinate with contract bookkeeper to track receivables and expenses.
  • Check mail and ensure timely bill payment and staff reimbursements.
  • Maintain timely Quickbooks financial data and provide financial reports as needed.
  • Other reporting as required.

All percentages are illustrative only, and will vary from week to week on a cyclical basis.

Essential Qualifications

  • Demonstrated ability to work well with diverse groups of people and willingness to challenge oneself and others to undo racism, homophobia, xenophobia, ableism, and other forms of oppression.
  • A deep understanding of the complex personal and institutional impacts of racism, sexism, classism, ableism, and other oppressions.
  • Ability to manage many tasks, prioritize, and problem solve under pressure.
  • Prior experience with QuickBooks.
  • Prior experience with Salesforce or related databases.
  • Expertise with Microsoft Office Suite (Word, Excel, and Publisher) and Google Docs.
  • Excellent written and verbal communications skills.
  • Proficiency in basic math for business purposes.
  • Willingness to work flexible hours including some evenings and weekends.
  • Attention to detail.
  • Comfort with and skills using technology.

Desired Qualifications

  • Two years of administrative and fundraising experience, especially with event planning . Equivalent experience with community work and grassroots organizing will be considered.
  • Lived experience with low-income housing.
  • Knowledge of housing issues and/or landlord-tenant law.
  • Prior development/fundraising experience.
  • Grant writing experience and contract monitoring.
  • Prior experience maintaining a flexible and changing office schedule.
  • Ability to work well both independently and as a part of a diverse team.
  • A strong commitment to housing justice, a desire to cultivate relationships to build the collective movement, and empathy for the experiences of all tenants.
