Ombudsman Services of San Mateo County

Ombudsmen are the trusted resource residents and family members can turn to for information, advocacy, and help resolving issues at licensed residential care facilities in San Mateo County. Our volunteers are the heart and soul of our program.

POSITION:  Volunteer Coordinator

Employment Status: Part Time – 20 hours

Reports to:    Program Manager

Position Summary:

The Volunteer Coordinator position is part time and will oversee the implementation and coordination of the field ombudsman recruitment, training, and certification process. He/she will work closely with the Program Manager to determine the curriculum for the monthly trainings. 

In addition, this individual will assist with training on the state-provided database to ensure that all ombudsmen are competent to enter their own cases and their monthly activity reports. There will also be some administrative responsibilities expected of this individual.

Responsibilities

  • Make presentations to key groups and community events in order to recruit potential new volunteers for the program
  • Facilitate the application process, ensuring all paperwork is complete and on file prior to the start of the training process
  • Ensure each new volunteer is fingerprinted and background checked prior to submitting the paperwork for certification to the state
  • Organize and conduct monthly volunteer information sessions and follow-up
  • Participate in interview process for potential new ombudsmen
  • Maintain engagement of interested candidates until next training is offered
  • Ensure volunteers have access to the online training and that classroom trainings are set up for the relevant chapters.  Also ensure each volunteer completes the entire training, including completion of chapter tests and the final exam.
  • Work with the Program Manager to annually set up the curriculum for monthly recertification trainings and follow up to make sure that the room is booked and set up, the speakers have been engaged and handouts are available as needed
  • Monitor annual continuing education credits for each volunteer, checking mid-year to ensure all are on track to complete their state requirements and offer additional training materials as needed.
  • Offer quarterly training to ombudsmen on state database system
  • Track volunteer years served and evaluate retention rates and trends
  • Arrange for exit interviews for each volunteer departing the program
  • Responsible for other volunteer recognition events, Christmas potluck and BBQ
  • Implement and analyze an annual volunteer satisfaction survey and provide the Program Manager with a report
  • Compile monthly volunteer statistics as requested
  • Maintain records of certification and decertification and submit to state in a timely manner
  • Prepare reports as requested
  • All staff assist with answering the telephone main line
  • Other responsibilities as appropriate

Qualifications

·        Certification as a long-term care ombudsman (Training can be provided)

·        Bachelor’s degree or equivalent experience

·        Excellent interpersonal and communication skills

·        Recruiting and training experience a plus

·        Computer experience and knowledge essential including familiarity with MS Office

·        Project management and time management skills

·        Ability to work independently and as a team player

·        Interest in and commitment to working with older and dependent adults a must
