NAPABA is seeking a passionate and skilled Meetings Coordinator to provide critical administrative and logistical support to the Senior Meetings Manager. The Meetings Coordinator works hand-in-hand with the Senior Meetings Manager to ensure the development and growth of high-quality events in alignment with NAPABA’s long-term strategy.

SUMMARY OF FUNCTIONS

The Meetings Coordinator, under the direction of the Senior Meetings Manager, is responsible for providing administrative and logistical support in all phases of event planning and execution for NAPABA.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist with the logistical and programmatic strategy, planning, and execution of the NAPABA Convention, quarterly board meetings, regional conferences, and special events to provide optimal member participation and experience.
  • Cultivate and maintain relationships, negotiate contracts, and evaluate an array of suppliers, including hotels, audio-visual companies, audio-taping and photography companies, insurance providers, general service contractors, art/graphic designers, reception sites, database managers, printers, and other vendors.
  • Manage Call for Programs, event registration, scholarship program, onsite staffing, networking activities including receptions and the gala, housing, catering, and technology needs for annual Convention.
  • Source venues and plan food and beverage for quarterly board meetings, Lobby Day, Leadership Advancement Program, and other special events.
  • Assist with supplies ordering and packing/transporting of event materials.
  • Coordinate with Membership & Marketing staff in the creation of event publications, materials, and signage.
  • Support the Program staff by developing, distributing, and collecting evaluation surveys and other forms of feedback to determine success in achieving the event goals.
  • Perform other duties as assigned.

ORGANIZATIONAL RELATIONSHIPS

Reports directly to the Senior Meetings Manager. Coordinates with volunteers and NAPABA committees and networks on program development. Consults with Membership & Marketing and Program staff on promotion and presentations.

EDUCATION AND QUALIFICATIONS

The ideal candidate has at least two years’ experience in meeting planning and coordination or a Bachelor’s degree in hospitality or business management. CMP certification is preferred but not required.

  • Excellent member-oriented ethic and ability to interact positively and effectively with a variety of audiences (including internal and external stakeholders) using written, verbal, and nonverbal communications.
  • Ability to work accurately and efficiently under pressure and with multiple deadlines.
  • Demonstrated experience with onsite logistics management and database registrations.
  • Strict attention to detail.
  • Capacity to adapt to new issues as they emerge.
  • Ability to use good judgment and work independently in a multi-task position.
  • Solid time management and organizational skills.
  • Proficiency in Microsoft Office and Excel, Cvent, YourMembership, HMTL and CSS.

  • Fluency or ability to develop fluency with work process tools used by the team, including Slack, Asana, Box, and others.

PHYSICAL REQUIREMENTS

  • Remote work possible.
  • Must be physically located in the DC/VA/MD area and present on-site and available throughout the Convention and other NAPABA events as necessary.
  • Travel is estimated at one to two weeks in a 12-month period.

SALARY

$50,000 - $59,000 commensurate with experience
