This role is a 12-month position, which is exempt and therefore not eligible for overtime pay under the provisions of the Fair Labor Standards Act.

About the Position:


The Operations Associate supports the Operations Team on the daily operations of the school. They report directly to the Director of Operations and also work closely with the School Nurse, Business Office and Front Desk Staff. The Operations Associate has ongoing responsibilities in supply management, ordering, shipping, receiving and distribution of materials, maintaining the teacher work room, documenting collection and status of student health records, medication

administration, special projects and food service support.

This job description provides an outline of some of the duties of the position, but there may be additional responsibilities as assigned by the Director of Operations.


Essential Duties and Responsibilities:


Supply Management

  • Manage the ordering process for each campus and Central Office staff.
  • Receive and track all instructional and office supply orders.
  • Maintain accurate records of all orders.
  • Maintain organized supply closets.
  • Perform quarterly inventory of supply closets.
  • Assist in the development and implementation of supply order systems.
  • Provide training to staff on ordering procedures and enforce policies.
  • Responsible for the beginning of year consumable/non-consumable orders and distribution.
  • Develop and maintain positive relationships with vendors.


Shipping/Receiving/Distribution

  • Receive and sign for deliveries.
  • Ensure an accurate invoice is received and processed for payment for each delivery.
  • Ensure timely distribution of deliveries to recipients.
  • Ensure quality control of all ordered items.


Teacher Workroom (TWR)/In House Supplies

  • Regularly stock the teachers workroom with all supplies.
  • Maintain an organized storage closet in the teachers workroom.
  • Manage, fill and deliver in-house supply orders for all staff.
  • Maintain school aesthetics at a high level by keeping the TWR clean and fully stocked.
  • Manage TWR laminator and front desk postage meter and schedules necessary repairs.


Health Suite Services

  • Complete medication administration training (MAT) to provide basic first aid, as well as administration of daily or short-term medication, including diabetes care, as needed.
  • Enter student health data into the Student Information System. File health and dental forms once they are entered into the DOH database by the school nurse.
  • Maintain supplies for Health Suite, per Director of Operations.
  • Ensure staff have appropriate first aid and medical supplies for fieldwork.
  • Monitor CCPCS fieldwork schedule and keeps sign-out/sign-in records for student medication.
  • Attend field work off site in support of students who require diabetes care.
  • Verify the status of student health certificate submission and follow up with families as needed.
  • Verify the status of student permission to participate in sports and follow up with coaches as needed.


Support to Spanish-speaking families and community members

  • Provide translation of operations communications to families, health notices and other materials into Spanish as needed.
  • Assist nurses in communicating with students or parents in Spanish, as needed.
  • Serve as a general resource for Spanish-speaking families.


Daily Operations/Special Projects

Participate in traffic duty to ensure that arrival and dismissal run smoothly and effectively.

  • Assist with photocopying, mailings, data entry, filing, etc., as needed.
  • Support the main school reception desk as needed.
  • Schedule and manage annual school picture day, including: individual photos, class photos, student ID ordering, and staff photos/IDs.
  • Assist in logistics planning and implementation for internal and external events that may include unlocking doors, transporting materials, guiding visitors. This may involve occasional evening or weekend hours.
  • Work with the school custodial and maintenance teams to ensure the building is clean and maintained.
  • Support the Free and Reduced Meals Application process as directed.
  • Other duties as assigned by the Director of Operations, Business Manager or COO.

Level of Language Proficiency

Desired Qualifications:


Minimum required qualifications: Bachelor’s degree required. The Operations Associate will perform administrative office duties, maintain records and data and manage ordering systems. They must be dependable, show initiative, be self motivated, able to work independently and on a team and customer service oriented. Candidates must be highly organized, demonstrate meticulous attention to detail and display the ability to prioritize and multitask projects. Must be flexible and able to adjust to unexpected schedule changes, occasionally take on tasks outside of your normal routine and be able to quickly shift gears. Candidates should be friendly, professional, and comfortable interacting with a variety of people including vendors, adults, parents and children. Strong and professional oral, written and email communication skills in English and Spanish are required. Prior office experience, including familiarity with office systems such as student databases, Microsoft Excel, and word processing is essential. This position frequently requires the ability to lift and move heavy objects up to 50lbs.


In addition to the above requirements, staff members must meet the requirements of all hires at Capital City including a criminal background check and a negative TB test.
