Description

Quota International, Inc., is seeking a Membership Coordinator that is compassionate, detail oriented, and team focused to make a difference in a small fast-paced, grass-roots office supporting volunteer members aiding 223 million children living in poverty in the 14 Quota Countries.


With nearly 5,000 members, Quota International has been changing lives for women, children, the deaf, hard-of-hearing and people with speech difficulties for 100 years. Service and Fundraising projects are organized by members to help with Educational Development, Health and Wellbeing, and Workforce Development.  


Members are the lifeblood of Quota International:


  • Feeding and educating street children
  • Promoting healthy hearing for children,
  • Gifting sewing machines and business training to mothers,
  • Offering job training classes to deaf students,
  • Advocating for victims of human trafficking,
  • Donating business clothes for women reentering the workforce,
  • Distributing school supplies for children around the world.


What is needed – An upbeat, organized, detail oriented professional with 7+ years experience in membership service, association, or non-profit organization settings. This position is responsible for:

  • delivering excellent customer service to volunteer members and leaders in 14 countries
  • generating all Quota club membership dues billings, rosters, and forms
  • processing all annual memberships, new member dues, and donations via deposits, credit cards, and payment plans
  • collecting outstanding membership dues
  • maintaining accurate membership records and officer updates in iMIS database
  • compiling membership data into reports, charts, and spreadsheets
  • collating club information from online surveys for club president reports, rewards program, and international awards
  • producing achievement, anniversary, and recognition certificates
  • creating check logs to track all deposits and donations under specified giving programs
  • preparing deferred dues schedules and backup documentation for annual report, grant applications and audit requirements
  • generating and processing liability insurance invoices for all United States Clubs and Regions
  • updating information on IRS required documents for clubs and charitable trusts and sending reminders for annual filings
  • maintaining files and providing support for club and regional governance documents, Bylaws, Charter Agreements, Tax Documents
  • responding to requests for new club charters and dissolution of clubs
  • ordering and filing club supplies and jewelry requests for Atlantic Clubs and managing inventories including the Australia Office for Asia Pacific Clubs
  • processing biennial convention payments including refunds for registrations, guests, and training fees
  • assisting with preparations for special mailings, International Board Meetings, Regional Meetings, and the biennial International Convention
  • promoting membership benefits, engagement, and satisfaction
  • coordinating with staff members in the United States and Australia
  • performing other duties as assigned.
