The Role 

American Ballet Theatre is seeking a Bookkeeper to join its Finance team. Reporting to the Senior Director of Finance, this full‐time, salaried position helps to manage the accounts payable and accountsreceivable aspects of ABT and assist the team with administrative payroll tasks and other financial duties.

Ideal candidates have relevant experience as a Bookkeeper and a strong interest in the performing arts.

Primary Responsibilities: 

  • Recording transactions (revenue and expense) and posting them to various accounts
  • Process payments (checks, ACH, and wire transfers) in a timely manner
  • Ensuring approval policies are intact for all payments
  • Deposit checks
  • Conducting daily banking activities
  • Monitoring and recording deposits and wire transfers
  • Preparing and processing IRS 1099 and 1042 Forms annually
  • Maintaining a well‐organized filing system for all vendors
  • Maintaining communication with all departments for payables and receivables
  • Responsible for monitoring due dates to ensure all payments are made on time
  • Responsible for ensuring all receivables are submitted on time
  • Communicating with Development Department daily to record daily contributions
  • Creating necessary reports and queries
  • Reconciling balance sheet accounts
  • Organizing all payment and revenue information digitally
  • Contacting vendors for missing information, discrepancies, necessary paperwork
  • Handle administrative payroll tasks on a weekly basis
  • Collecting new employee paperwork and following up on missing forms
  • Collating JKO School weekly payroll
  • Tracking employee medical insurance
  • Uploading employee pension distributions
  • Support colleagues on the Finance team as necessary to complete departmental tasks
  • Perform other duties as requested

Position Qualifications:

  • Commitment to excellence and high standards, including quality customer service to ABT’s constituents (staff, artists, vendors, donors, etc.)
  • Strong problem solving and analytical skills
  • Excellent written and oral communication skills
  • Confidence and proficiency in the use of technology and software applications.
  • Acute attention to detail
  • Ability to prioritize and organize work to effectively balance multiple assignments, set priorities and meet stringent deadlines
  • Ability to work independently and as a strong team player
  • Approach tasks with a low‐ego, hands on, results‐driven style
  • Down‐to‐earth, collaborative, “roll‐up‐your‐sleeves” personality that lends itself to rallying others to take the initiative in their areas of expertise.

Education and Experience: 

  • Bachelor’s degree in Accounting/Finance
  • 5 or more years relevant experience
  • Familiarity with Blackbaud’s Financial Edge (preferred)
  • Fluency in Microsoft Suite and familiar with database concepts
