What We’re Looking For

We’re looking for a skilled Operations Assistant to join our team. In this role you will serve as the organization’s administrative point person and coordinate day-to-day internal operations at the Non-GMO Project. The Operations Assistant will report directly to the Finance & Operations Manager and will work with the Operations Team, providing high quality service to the team members throughout the organization, and support a variety of Ops team projects. 

Areas of Responsibility

  • Support the overall operations of the organization through a wide range of office support and administrative functions 
  • Coordinate and fulfill requests from staff and ensure staff support needs are met including ordering, delivery and tracking of office related supplies and equipment 
  • Update operational documents as needed; and maintain confidential files and documents
  • Respond to general inquiries via phone and email and greet visiting stakeholders when in the office
  • Work with the Finance & Operations Manager to support facilities management including phone, internet and IT Services
  • Assist in monthly financial reporting and tracking tasks, including expense reports and reconciliation support 
  • Assist in annual employee benefits renewal and enrollment
  • Support the administrative functions of the Ops team as needed, including direct assistance to the Finance Manager and Director of Operations  
  • Support the delivery of streamlined and efficient internal communications on behalf of the Operations team
  • Support planning and coordination of staff appreciation activities and events
  • Assist in coordinating travel arrangements as needed
  • Support in the management of organizational document file structure, support staff training and guidance in file naming and organization

The ideal candidate for this role is: 

  • Able to work on-site in Bellingham, WA (at least 2 days per week)

  • Highly organized with a demonstrated ability to prioritize workflow
  • Able to manage multiple projects in a energetic, fast-paced environment

  • Effective at problem-solving, and self-motivated to take on additional projects as needed
  • Able to work independently and effectively as part of a team

Experience You Bring 

We place a high value on lived experience coupled with professional experience

  • Exposure to business, office and operations support or equivalent work experience
  • Experience providing internal operations and/or administrative support
  • A demonstrated interest in food systems, the natural products industry, and the GMO issue
  • Proficiency with Excel or Google spreadsheets, ability to build tracking and reporting functions a plus
  • Proficiency working with Microsoft Office, Google Suite, familiarity with Quickbooks and third-party applications such as Smartsheets.
