The Senior Financial Administrator reports directly to the Controller. This position is responsible for month-end closing and the preparation of financial analysis to ensure all transactions are complete, accurate and recorded at a timely manner.  Other responsibilities include retirement plan and payroll administration as outlined below.


Duties include responsibilities in the following areas:


General Accounting


  • Month end closing and review monthly financial reports for accuracy and completeness
  • Implementation and maintenance of all organizational financial controls to ensure efficiency and accuracy of the financial reports
  • Responsible for all aspects of accounts receivable functions, including preparation of monthly invoicing of organization’s funding source(s)
  • Manage all aspects of accounts payable, including invoice review and check preparation
  • Monthly reconciliation of all bank accounts for month end reporting
  • Manage and oversee all office supply ordering, including review and approve supply orders and setting budgets for each designated person authorized to place orders


Payroll Processing and Reconciliation


  • Provide ongoing support for payroll processing. Complete the payroll cycle when Payroll Administrator is not available
  • Responsible for payroll and benefit reconciliation with the General Ledger.  This includes the garnishment and unemployment accounts



  • Assist Controller with the budgeting process, ongoing analysis and oversight of balance sheets, profit and loss statements, budget variances and resolution
  • Assist Controller with the grant reporting process, including preparation and reconciliation of the grant reports
  • Assist Controller in annual audit and schedule preparation
  • Responsible for regulatory reporting and all state and federal tax reporting


  • Monthly Labor Statistics
  • Multiple worksite quarterly reports
  • Annual Economic Statistic report for non-profit organizations
  • Federal/state tax filing preparation
  • Review and approval of 1099’s


Retirement Plan Administration


  •  Review reconciliations and depositing money to employee accounts
  • Responsible for annual 403(b) audit and the preparation of 403(b) Census report
  • Manage  and review 403(b) loans and hardship withdrawals
  • Manage relationship with the Third Party Administrator, Financial Advisors, and Financial Custodian
  • Periodic assessment of efficacy and performance of CLC’s outside consultants




  • Prepare Contribution Statements for Board of Directors
  • Support in all financial aspects of the organization’s fundraising efforts.


  • Record donations and prepare timely fundraising reports
  • Provide oversight and support the administration of the donor database
  • Maintain postal permits for mass mailings
  • Manage all credit card processing for any fundraising activities and events put on by the organization


  • Other duties and responsibilities as requested by the Controller





  • 7-10 years of experience in non-profit accounting including financial reporting, analysis, budgeting, cash management, auditing, financial controls, retirement and payroll administration
  • Solid interpersonal skills and ability to interface with all employees in different levels, as well as providing excellent customer service
  • Ability to work in a fast-pace work environment
  • Excellent written and verbal communication skills, and strong organizational skill
  • Highly proficient in Xero/QuickBooks, ADP Payroll system and Microsoft Office
  • Demonstrated proficiency in A/R, A/P & G/L account analysis, financial statements & management reporting, credit reviews & approvals, variance analysis and accounting polices/procedures development
  • Demonstrated proficiency in retirement and payroll administration


An operable automobile, valid California driver's license and automobile insurance while working for Children's Law Center of California.
