Whale and Dolphin Conservation (WDC) is seeking a dynamic and ambitious ocean lover to manage the needs of our growing office. The candidate will be the integral thread that weaves together a small team of passionate researchers, advocates, and educators whose work is making a massive impact in marine conservation and education. The ideal applicant thrives in a high-energy role, is detail-oriented, enjoys problem-solving and wearing multiple hats, and values their contribution as an integral part of our mission. 

The office manager plays a key role in supporting our organization by overseeing the processing and fulfillment of our donations (including donation premiums and whale adoptions) and organizing and administering the employee payroll and benefits packages. They maintain the integrity of our brand by ensuring we are compliant with all state and federal requirements.

With the support of our Administrative Assistant(s), they will oversee the processing and delivery of all donations, maintain the donor database in Salesforce, and respond to donor inquiries. They will engage daily with our supporters by phone, mail, and electronically, and ensure that supporters receive information and products promptly.

They will oversee office functions, including working with our payroll and benefits providers; coordinating recruiting, onboarding, and succession efforts; and seeking ways to grow and support our efforts to improve diversity, equity, and inclusion in the field of marine mammal science and conservation. 

They keep the staff functioning as a cohesive unit through their management of the day-to-day operations including oversite of office area and equipment, monitoring inventory and purchasing supplies, processing accounts payable, and providing support to the finance team. They maintain the integrity of our brand by ensuring we are compliant with all state and federal requirements.

The role is based in our dog-friendly office in Plymouth, MA. A benefits package is included, along with a chance to see whales and dolphins in the wild. We are dedicated to forming a team that represents a variety of backgrounds, perspectives, and skills.

Qualifications:

  • BS/BA or equivalent professional experience
  • Strong writing and verbal communication, interpersonal and organization skills required
  • Must be organized and able to meet deadlines
  • Strong attention to detail and ability to maintain confidential records
  • Experience with Microsoft Office products required,
  • Experience with Salesforce and Quickbooks a plus 
  • Experience working with financial data and budgets a plus
  • Past HR experience a plus 
  • Must be customer-service focused with a willingness to problem solve and provide assistance 
  • Must be able to work some nights and weekends
  • Must be able to legally work in the United States
