Job Title: Executive Assistant (Part-Time)

Reports to: Co-Executive Directors 

FLSA Status: Non-Exempt, Hourly

Salary Range: $18.00 to $23.00 an hour

Location: Fresno, CA 

POSITION SUMMARY:

The Executive Assistant will be primarily responsible for supporting Co-Executive Directors and administrative team to strengthen Leadership Counsel’s internal and external operations and effectiveness. This position will report directly to the Co-Executive Directors

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Support Co-Executive Directors by: 

  • Manage complex calendars for Co-Executive Directors, such as scheduling and prioritizing all internal and external meetings for Co-Executive Directors and calendaring key deadlines 
  • Coordinate and manage travel, including cars, flights, hotels, and public transit  
  • Provide administrative support including expense and credit card reports, meeting preparation, event briefing materials, and other special assignments 
  • Assist in maintaining systems for monitoring, received, read, and sent emails messages and tracking action items
  • Respond promptly and appropriately to a variety of emails, phone, and written communications addressing Co-Executive Directors including grant inquiries, speaking requests, invitations and requests for information 
  • Prepare semi-weekly communication reports that summarize recent requests and general updates  
  • Draft correspondence in the form of letters and emails  
  • Assist with other tasks to support Co-Executive Directors as directed 

Provide general administrative and programmatic support including: 

  • Participate and contribute to administrative team meetings, activities, and collective work assignments 
  • Support coordination of a wide variety of on and off-site meetings and events   
  • Coordinate, publish agendas and minutes for all staff meetings and others as requested
  • Support donor management 
  • Other administrative or programmatic functions as deemed necessary by Co-Executive Directors, Office Manager, or Director of Operations

This job description is not intended to be all-inclusive and the employee will also perform other reasonably related duties as assigned by the supervising manager or co-executive directors.

Skills and Qualifications:

  • High school or GED required 
  • Bilingual English/Spanish preferred 
  • Experience working with diverse stakeholders preferred 
  • Experience with relevant administrative tasks preferred 
  • Computer skills including Microsoft Office Suite, Google Office Suite, and Adobe
  • Excellent organizational skills
  • Ability to prioritize
  • Comfortable with working with residents and organizations from diverse backgrounds
  • Strong written and verbal communication skills
  • Demonstrated Initiative
  • Ability to travel within the State of California including throughout California and up to 1-2 times per year out of state
  • Access to a cell phone
  • Reliable access to the internet  
  • Access to personal vehicle and insurance

Physical Requirements & Work Environment

The physical demands listed are representative of those that must be met by an employee to successfully perform the essential functions of the job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  

Ability to drive frequently and for up to 8 hours in a day to community meetings, hearings, conferences, and other related activities, ability to work long days occasionally up to 14 hours in a day, ability to conduct door-to-door outreach and conduct meetings, lifting materials and supplies such as chairs, easels, tables. Typically, these will weigh 30 pounds or less. Position involves remaining in a stationary position for most of the workday. The employee is regularly required to move or remain in a stationary position. This position requires the ability to perform clerical duties in the office and operate computers and related office machinery. The employee is occasionally required to move self. Specific vision abilities required by this job include the ability to observe details at close range or from a distance. Other abilities required by this job include the ability to communicate information and ideas so that others understand. Must be able to exchange accurate information in these situations.

This position engages in functions both indoors and outdoors, in office environments with light to moderate noise, and in community gathering venues, private homes, or government buildings with both small and large groups of people where noise levels may be higher than in a typical office setting.

Employees share office space with one or more other staff members. Out-of-office meetings both meetings will include meetings in other offices, in community centers, in homes, in government buildings, and outside.
