Position Summary:

The Women’s Equality Center provides strategic communications and campaign support to the reproductive health, rights, and justice field at all levels, developing long-term, big-picture messaging frameworks around emerging issues and complementing and strengthening the work of organizations in Latin America and the Caribbean via grants, integrated policy and communications campaigns, and rapid-response operations.

Reporting to the Executive Director, the Coordinator will provide day-to-day support to the Executive Office, and manage relationships at the highest level. This is a great opportunity for someone who is proactive, solution-focused, has strong attention to detail, and has a deep understanding of the value of high-level administrative support. The Coordinator will need to be bilingual, and fluently speak, write, and read in Spanish and English. 

Essential Responsibilities and Activities: 

  • Manage a high volume of internal and external scheduling, calendar maintenance, meeting coordination; proactively identifying and resolving scheduling conflicts, confirming attendees in advance of meetings, and ensuring the inclusion of agendas,
  • Schedule and coordinate domestic and international travel, including air, train, hotel, and other travel needs, as well as create travel itineraries and briefing packets to prepare the Executive Director for travel,
  • Staffing and coordination of staff for high-level meetings and events when necessary, 
  • Serve as note-taker in regularly scheduled meetings and coordinate appropriate follow up,
  • Draft and send internal and external emails and communications including to WEC staff, fiscal sponsor, funders, and other important stakeholders in both English and Spanish,
  • Prepare materials including documents, powerpoints, research, and data, when necessary, for the Executive Director’s meetings, presentations, and interviews,
  • Support with Executive Director’s social media as necessary,
  • Support special projects as assigned, and 
  • Other general duties as required.

The successful candidate must have the following skills and qualities:

  • A minimum of 2-3 years of experience providing managerial and/or executive support. 
  • Complete fluency in both Spanish and English; excellent writing, proofreading, and verbal communication skills.
  • Strong virtual communication and collaboration skills: ​efficiency and comfort with Zoom, Slack, and Google Suite, responsiveness via email, and willingness to participate in weekly group calls or as needed.
  • Ability to learn new systems quickly.
  • Comfortable multi-tasking, determining priorities, executing time-management and coordinating many moving pieces simultaneously, and under tight deadlines. 
  • Comfortable working in a collaborative environment, and open to criticism and compromise. 
  • High attention to detail and ability to consistently follow through in a timely fashion.
  • Excellent communication and interpersonal skills, and the ability to work with and respect people of different cultures and viewpoints.
  • Passion for making a difference; a growth mindset, can-do attitude, versatility, and openness to engaging in a spectrum of work.
  • Ability to travel both domestically and internationally, up to 25% of the time, some of which may occur over holidays or weekends.

Salary + Benefits:

The salary range for this position is between $60,000 to $70,000, based upon years of experience and education.
