PEI Kids provides community- and school-based programs with the mission to promote and create a safe environment for all children. PEI Kids works with the child, family and caregiver to provide prevention, intervention and advocacy programs relating to personal safety, sexual abuse and the overall well-being of the child. 

A great opportunity awaits a highly organized and detail-oriented person who would enjoy being part of PEI Kids’ experienced leadership team. The Business Manager must possess sound professional acumen; be comfortable working with diverse audiences; have experience with budgeting and purchasing; assist the Executive Director with assigned projects; and provide overall operational support for the organization using a solution-oriented approach.

Title: Business Manager | Reports to: Executive Director

Summary:   Serving as an integral member of the leadership team, the Business Manager is responsible for the smooth, daily operations of the agency, including planning, organizing, implementing, and monitoring all aspects of business operations.  The position requires flexibility, problem solving skills, and knowledge of the workings of all departments within the agency.


KEY RESPONSIBILITIES

Administration

- Responsible for HR administration, record keeping, and maintaining staff education and HR records. 

- Manage benefit contracts and vendors (401K, health plan, HRA/FSA AFLAC)

- Purchase agency and program supplies/equipment and conduct vendor due diligence for major purchases; serve as liaison with contractors/vendors

- Maintain organizational records including org charts, bylaws, charitable organization filing, HIPPA records/forms, and tenant leases

- Secure commercial insurance package; handle workers comp, vehicle, and accident records/claims that arise

- Assist with developing/implementing new agency policies as needed 

- Review, verify and approve charges and payments of invoices

- Process incoming mail, purchase postage, and manage petty cash fund

- Assist staff with general agency needs 

Programs/Grants

- Manage application process and reporting for Government grants/contracts (DCF, VOCA, County) including assembly of grant application for submission

- Attend planning meetings and required meetings by government funders

- Provide direct service/coverage for Supervised Visit program when needed

Board of Trustees

- Attend Board meetings, record Minutes, and follow through on occasional requests/projects from Board members

- Maintain all board meeting records/reports and contact information for Trustees and Committee members

Human Resources

- Participate in screening/interviewing and onboarding of new hires

- Keep up to date Personnel Policy/Employee Manual and monitor/reinforce compliance with HR policies; serve as primary HR contact with staff, vendors

- Maintain confidential personnel files, background check records, and all HR records record/monitor staff PTO (paid time off), 

Building 

- Responsible for maintenance of building/grounds and related vendors, equipment, hardware, cleaning services, and infrastructure systems: fire, entry/access, HVAC/thermostat, security 

- Maintain offsite safe-deposit box and master building key set

- Serve as liaison with Township(s) for taxes, inspections, licenses, and all municipal business 

- Liaison to commercial tenant and contractors during periodic building renovations/projects

Computers, IT Network and Phones

- Liaison to phone vendor and IT vendor for hardware/software, networking 

and remote services including offsite back-up and remote log-in system

- Ensure continual internet, email and support at 18 computers stations + server

- Evaluate/recommend needed changes and system upgrades 

- Responsible for setting up staff laptops, and maintaining master password list for computers, email and licensed software used by PEI Kids/staff

Special Events

- Help plan and participate in special events and fundraising activities

- Obtain/Maintain Raffle and Gaming commission licensing

- Coordinate roles and responsibilities of event volunteers

- Occasionally attend community outreach events to promote PEI Kids


QUALIFICATIONS

- Commitment and passion for the mission of PEI Kids.

- 5 years office/business management or operations experience; or equivalent combination of education and work experience.

- 4-year degree preferred, or 2-year degree with strong relevant experience

- Flexibility with the ability to multi-task is a must. Ability to manage several projects at once and oversee them through completion is imperative.

- Organization, attention to detail and quick follow-through are key in this role

- Competent in Word, Excel, Outlook; and basic understanding of server-networking logistics.

- "Can-do" attitude with ability to innovate, achieve efficiencies and improve processes.

- Ability to listen/communicate effectively with diverse audiences is critical.

- Knowledge of non-profit management is helpful.
