Since 1971, Hopelink has served homeless and low-income families, children, seniors and people with disabilities in the north and east King County, WA. With service centers in Redmond, Bellevue, Kirkland, Shoreline and Sno-Valley (Carnation), we are the largest nonprofit organization in the area. Hopelink programs and services focus on five key areas: food, financial assistance, housing & family development, adult education & employment and transportation/mobility. Programs are aimed at helping people achieve stability, and helping them gain the skills and knowledge they need to exit poverty for good.

Summary

Provides administrative support to Adult Education management and staff. Coordinates program data and activities. Monitors data quality and coordinates corrections with program management and staff. Duties require a detailed understanding of program functions, policies, and procedures and ability to respond quickly to unscheduled requests. Works closely with two other administrators (the Program Coordinator for Employment & Financial Capability, and the Intake/Enrollment Specialist for Employment), sharing workload when needed and collaborating on projects.


Essential Functions:

(Note: Any one position may not include all of the functions nor do the listed functions include all tasks that may be found in positions of this class.)

Data Program Support

·        Maintains several program databases (Client Track, WABERS, TOPspro Enterprise): enters and compiles data from varied sources; makes summary reports; provides training for program staff, and answers staff questions.

·        Participates in projects involving the analysis of data for program improvement.

·        Completes report for volunteer hours.

·        Completes CASAS CADRE and WABERS responsibilities: provides data administration and testing support to education programs; coordinates collection of data.

·        Processes education enrollments and exits; audits and verifies enrollments and service entries.

·        Works with program management, the Outcomes and Evaluation Analyst, and the Client Data Department to implement systems to ensure data quality.

Administrative Program Support

·        Coordinates program administration: implements program administration policies, procedures and systems, assuring conformance with agency and granting agency policies and objectives; gives input to program management on establishing and documenting program processes.

·        Screens interested clients; monitors and assigns referrals in program database.

·        Helps write, coordinate, and organize Standard Operating Procedures (SOP) for education programs.

·        Arranges, schedules, and prepares for meetings, workshops, training sessions, and the like; assembles materials, reserves sites, takes minutes as required.

·        Maintains program supplies inventory.

·        Monitors, reconciles, and submits required documentation for specific assistance, bus tickets, and inventory of gift cards.

·        Establishes and maintains filing and record keeping systems; assists with archiving files.

·        Surveys clients post-enrollment.

·        Purchases office and program supplies; resolves purchasing issues; retires program materials and supplies.

·        Solicits volunteers for administrative assistance: plans, assigns, monitors and evaluates tasks.

·        Represents program on agency committees.

·        Composes, types, proofs, edits, and copies grant applications, correspondence, reports, tables, minutes, and other documents, using computer, copy/scan machine, calculator, FAX, and other standard office equipment

Center Support

·        Provides front desk resource, screening, and reception team coverage for lunch, break time, and staff meetings.

Required Qualifications

·        Three years administrative experience and AA degree; or any combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.

·        Intermediate-level experience using current cloud-based office software programs (MS Office 365, Google) for communicating, scheduling and document/spreadsheet/chart creation; competent with wireless technology, cell phone, laptop, etc.

·        Experience communicating effectively, both orally and in writing, with clients, other employees, and the general public using tact, courtesy, and good judgment.

·        Strong organization skills used in an office setting.

·        Experience working with accuracy, attention to details, and meeting deadlines.

·        Strong Business English, including grammar, spelling, and punctuation.

·        Experience writing reports.

·        Ability to maintain the confidentiality of sensitive and confidential materials.

·        Fast and accurate keyboarding skills.

Preferred Qualifications

·        Bachelor’s degree in social services, education, or public administration, or related field.

·        Experience with client databases and education databases (such as WABERS, TOPSpro Enterprise) and standardized testing instruments (such as CASAS).

·        Advanced-level experience using current cloud-based office software programs (MS Office 365).

·        Experience supervising the work of volunteers.

·        Vision abilities required by this job include close vision and the ability to adjust focus. 

·        The noise level in the work environment is usually moderately quiet

Licenses, Certificates and other requirements:

·        Valid Washington State driver’s license.

·        Reliable personal transportation.

·        Proof of personal automobile liability insurance.

·        Must pass criminal background check.
