Community Training Works Inc. (CTW) is a nonprofit environmental conservation corps that

empowers individuals from all backgrounds and abilities to contribute purposefully to their

community through hands on experience. We impact communities through work on public

lands, roads, and waterways. Our vision is a world where individuals utilize intelligence and

positive energy to improve their lives, community, and environment.

Established in 2006, CTW operates statewide from a network of field operations and an

office in Crawfordville, FL.

CTW is seeking an Program Manager to support the management team with duties

including general office management, program management and administrative support.

The position is located in the Crawfordville office.

Scope:

The Program Manager is responsible for providing administrative support to the Executive

Director and Corps Director as well as liaison with project partners. Provide oversight of

CTW's programs, policies and procedures, and office systems. This person will perform

duties to provide administrative support for any range of office functions and program

facilitation.

Duties will include:

Schedule Trainings, Board and Management Team meetings on behalf of Executive

Director (ED) and Corps Director, communicate with partners, field staff and invitees.

Compose correspondence, compile, organize and issue materials in preparation for

meetings. Take and transcribe meeting minutes, ensure proper signing and maintain

records of signed board minutes and attendee sign in sheets in keeping with

requirements.

Track participant and crew/project outcomes utilizing database and spreadsheets.

Prepare Reports utilizing data tracked.

Prepare and issue authorized communications to staff relating to policy and

procedures or other notifications resulting from meetings. Conduct basic research as

procedures or other notifications resulting from meetings. Conduct basic research as

requested, reporting back and conduct follow-up tasks relating to policies or other

issues as requested.

Provide administrative services for executive team and support field staff, Board

members and other volunteers.

Perform any range of administrative support for Executive Team as requested.

Schedule meetings, maintain mailing lists and data bases, maintain files, issue group

e-mails or texts on their behalf and assist with technology to provide user support or

prepare documents, presentations, and spreadsheets as required.

Maintain corporate files, program files

Maintain AmeriCorps program database, policies and procedures to ensure

compliance

Provide support for employment and onboarding of new employees. Maintain lists of

appropriate advertising sites and post job announcements as required. Schedule

interviews with applicants, prepare orientation packages for new employees and

schedule orientations. Coordinate and implement onboarding procedures;

Maintain the corporate CRM in database and coordinate with other functions to

support their CRM needs.

Maintain electronic staff calendars, tasks lists and organizes team events.

Work collaboratively in a team environment with a spirit of cooperation and as a

relationship builder.

Display excellent communication skills including presentation, persuasion, and

negotiation skills required in working with partners, vendors, field staff and coworkers

and including the ability to communicate effectively and remain calm and courteous

under pressure.

Display engaging interpersonal skills including the ability to think and act strategically,

provide sound judgment, and provide a positive and energetic attitude.

Provide systematic and dependable follow-up, as well as a high level of organization

and preparedness.

Support Executive Team (Exec Director, Corps Director, Program Manager)

administratively with special requests including research projects and other

miscellaneous duties.

Maintain safe work area and comply with safety procedures and equipment operating

rules keeping work area in a clean and orderly condition.

Perform other related duties as assigned.

Requirements:

Four years minimum experience as an executive assistant/office manager in high-level

administrative support role

Bachelor’s degree or equivalent

Certified Administrative Professional (CAP) (Preferred)

Friendly, outgoing demeanor

Professional appearance and telephone manner is essential

Advanced Microsoft Word, Excel, and PowerPoint skills required

Advanced Microsoft Outlook skills required

QuickBooks skills a plus

Other computer skills including Adobe Acrobat, Database upkeep, and Internet-based

research

Demonstrated ability to effectively handle confidential information

Demonstrated ability to effectively handle new situations and determine what actions

are required

Highly developed sense of professional courtesy

Ability to multitask and work with minimal supervision
