For over thirty years, LCD has provided free direct legal services to individuals living with a disability or chronic illness. Headquartered in center city, LCD staff work directly with medical partners at multiple sites across the city through LCD’s Medical-Legal Partnership Initiative. Focused on addressing health-harming legal needs, our practice areas include family, housing, planning documents, public benefits, and social security law. We conduct community legal outreach clinics, healthcare provider trainings, and actively participate in the Philadelphia Eviction Prevention Project.

Position overview: The Operations Coordinator reports to the Executive Director (ED) and is responsible for coordinating the administrative operations of the organization and providing direct support to LCD staff. In collaboration with the ED, the Operations Coordinator will develop and implement systems and procedures that increase organizational efficiency and streamline processes.


Detailed Responsibilities:


Data and Technology Management:

·        Provide support with data management systems as determined by the ED and Legal Director, including data entry, collection, reporting, and outcome measurements; ensures accuracy of all data;

·        Collect and maintain data and forms for research projects;

·        Manage LCD software, equipment, and IT; Serve as the liaison with outside IT vendors;

·        Responsible for additions and changes to website; Ensures all information is up to date.


Human Resources

·        Guide new staff through onboarding process; Provide administrative, tax, insurance, and human resource forms;

·        Maintain staff PTO trackers;

·        Update and oversee all safety and security procedures, including ensuring compliance with HIPAA, BAA, and partner requirements;

·        In conjunction with the ED, conduct annual review of insurance policies and benefits plans;

·        Ensure that all office insurance policies and continuing education program enrollments are up to date.


Administrative oversight:

·        Coordinate office space and facilities management;

·        Support case preparation by drafting opening and closing documents for in-house and volunteer matters;

·        Maintain trackers for in-house and volunteer cases;

·        Open and close all cases, ensuring that files are complete upon closing;

·        Organize closed in-house files;

·        Maintain general office staff list, directories, and standard operating procedures;

·        Record and maintain staff meeting minutes;

·        Order and maintain office supplies, assist with office equipment repair, and ensure invoices are correct;

·        Coordinate day-to-day finance operations, manage receipts and expense files; Prepare and make deposits;

·        Manage all correspondences, including mail, email, faxes, and e-signatures;

·        Schedule meetings and book conference rooms.


Qualifications:

·        Demonstrated commitment to mission-related or nonprofit work;

·        Bachelor’s degree or equivalent education and experience;

·        2-4 years of relevant experience;

·        High degree of accuracy and attention to detail;

·        Demonstrated ability to simultaneously prioritize, track, and complete multiple tasks;

·        Knowledge of new software and relevant data systems;

·        Demonstrated ability to work independently and take initiative;

·        Demonstrated organizational and resource skills;

·        Demonstrated trustworthiness and professional judgment.
