General Summary: This 11 month position involves developing and maintaining systems to support graduate programs in the School of Education. The Graduate Programs Specialist applies policies, procedures, and requirements for graduate programs in tracking student progress from the time of admission to completion of certificate and/or degree. Works primarily with graduate students outside of teacher education programs, supporting the work of the Associate Director of Graduate Programs as well as the Certification Office. 

Job Description:

  • Tracks the progress of graduate candidates in most graduate programs, from acceptance to completion of program. This includes but is not limited to coursework as well as certification and non-credit requirements, keeping files up to date. Performs quarterly registration checks and communicates with students about program requirements.
  • Monitors degree and certification requirements for candidates in the graduate programs outside of teacher education. Tracks data/information as required for certificate completion in administrator and ESA programs, including fingerprint status and state required paperwork.
  • Creates admission files and downloads application materials for new students. Sends welcome emails to new students and helps orient them to SPU.
  • Implements processes and procedures for the Certification Office to keep in compliance with federal and state regulations and requirements for administrator and ESA programs.
  • Assists the Associate Director of Graduate Programs with program admission, orientation, and end of the year events as necessary. May involve some evening and weekend responsibilities (0-2 events/quarter).
  • Certifies administrator and ESA program completers. This includes but is not limited to verifying student completion data to OSPI, closing out and archiving files, keeping verification lists up-to-date, and communicating with students regarding the status of their certification.
  • Represents the School of Education at various meetings, webinars, class presentations, and conferences.

Requirements:

  • Undergraduate degree or commensurate experience.
  • At least one year of experience working in an office setting is required. 
  • Friendly, industrious, resilient, strong attention to detail, effective working alone and in a team, accurate data entry, clear communication skills, teachable.       
  • Proficient with Microsoft Office products including Outlook, Word and Excel.
  • Applicant must reside in Washington state and be able to travel to campus on a routine basis.

Preferred qualifications:

  • Bachelor's degree is preferred.
  • Two to three years of experience in higher education, including skill with a wide array of technologies, organizing events, maintaining program documents, and facilitating communication is a plus. 
  • Experience working with graduate students, preferred.
  • Strong organizational skills, ability to prioritize, ability to comprehend technical writing, knowledge of state certification requirements.
  • Experience with Administrative Banner, SharePoint and Slate.

 

Additional Information:

Position will remain open until filled.

This is an 11 month per year position, mid July to mid August off. 

Salary: 18.36 per hour
