Call for Candidates: MAPS is seeking an organized and experienced administrator whose primary responsibility is providing high-level, confidential professional and personal support to the Executive Director (ED). The EA provides this support through clerical and project-based duties including but not limited to; arranging the ED’s active schedule and associated travel arrangements, handling information requests, preparing materials for speaking engagements, monitoring and organizing incoming email and social media correspondence, when appropriate delegating, transcribing, or responding on behalf of the ED, and general IT support. This position is often privy to confidential information and as such, requires diplomacy and discretion.
About MAPS: The MAPS Group consists of a parent non-profit with 24 staff focused on fundraising, public education, advocacy, psychedelic harm reduction and operations, as well as several wholly-owned for-profit drug development subsidiary organizations with a combined additional 30 employees. These subsidiary organizations, the MAPS Public Benefit Corporation (MAPS PBC) and MAPS Europe, are conducting clinical research to develop psychedelics and cannabis into regulatory-approved medications in the U.S., Europe, and globally. Pending Food and Drug Administration (FDA) and European Medicines Agency (EMA) approval, these medications would be sold by MAPS’ subsidiary organizations by prescription with all profits used in furtherance of MAPS’ mission.
Primary Responsibilities: The EA is responsible for performing a wide variety of complex and critical executive administrative duties including; managing the ED’s schedule and travel arrangements which includes briefing the ED daily, preparing meeting materials, conducting background information gathering, and coordinating meeting logistics. In Fiscal Year 18-19, the ED participated in 65 speaking engagements. The EA is responsible for completing associated information requests, as well as preparing presentations, slide decks, and other materials. Occasionally, the EA may travel to events to accompany the ED. The ED receives and responds to over 100 messages per day. The EA monitors and organizes incoming email and social media correspondence, and when appropriate, delegates, transcribes, or responds on behalf of the ED. Additional responsibilities and duties include filing expense reports and reimbursement requests, managing the ED’s general workload and projects, occasionally facilitating meetings, liaising with board members, arranging board meeting logistics, taking and distributing meeting minutes, and general IT support for the ED.
Ideal Candidate: The ideal candidate is someone with 3-5 years of experience supporting senior management and/or entrepreneurs, with strong computer skills, ability to quickly navigate between tasks, and a demonstrated ability to handle confidential information with discretion. Desired personal attributes include someone who is organized, resilient, flexible, has a high level of professionalism and strong attention to detail, is independent and self-motivated, has polished verbal and written communication skills, and is a creative, solution-oriented problem solver.
