We are seeking a payroll specialist with critical responsibilities to ensure accurate and timely entry of employee data into the payroll system (Paylocity) and tracking of critical information related to payroll for a designated group of employees. The Payroll Specialist also provides additional support for other key functions of the Finance team.

This is a full-time, non-exempt position based at Mary’s Place main administrative offices. The hourly wage is $21.00 - $25.00 DOE.

This position reports to the Chief Financial Officer. This position does not supervise other staff

Key Responsibilities

Payroll responsibilities for a designated employee group:

• Accurate and timely input of new hire information, payroll changes, terminations, and other changes to the Paylocity system

• Monitor the Webtime process to ensure all missing punches are resolved and pending time-off requests are processed prior to running payroll

• Monitor PTO, Sick, and other paid-time-off balances to ensure accurate calculations and make required adjustments as needed

• Monitor the payroll@ and FFCRA@ email addresses on a daily basis and ensure emails are answered in a timely manner 

• Communicate to employees and their direct supervisors any missing paperwork or other payroll impacting issues so that an accurate payroll is assured 

• Monitor each employee every payroll to ensure the number of hours worked matches the employee status code; Log discrepancies in shared Finance-Payroll Notes document; Communicate issues to Director of HR as necessary

• Process all garnishment-related paperwork in a timely manner and ensure that the proper deductions and payments are made

• Enter new benefits-eligible employees into the benefits enrollment portal (BerniePortal) and manage election timelines and due dates to ensure employees are enrolled or waive benefits by the due dates; Maintain the benefits tracking spreadsheet

• Process Employment Security Department (unemployment and Paid Family and Medical Leave - PFML claim forms

• Process L&I forms and requests for information and communicate directly with HR regarding any claim paperwork received

General payroll responsibilities:

• Create payroll batches, run timecard reports and period reports for special pay groups, collaborate with the Payroll Team during payroll processing, submit payroll batches as directed by CFO, and other payroll duties as assigned

• Manage Mary’s Place Intern Program payroll and employee records throughout the life cycle of each intern, including entering new hire information into Paylocity, monitoring dates of internship and following up with Mary’s Place Employment Services department on payroll questions, processing terminations, maintaining Intern payroll files, processing employment verification requests, and running reports as needed to track Intern Program wage expenses

• Assist with the annual benefits open enrollment process and collaborate on internal best practices for ensuring annual enrollment changes are tracked accurately and deduction changes are entered into the Paylocity system by the first payroll in December

• Manage the ORCA Card benefit program for all employees, including: issuing new cards, inputting/canceling deductions in Paylocity as applies, charging card fees and refunding returned card fees through the regular payroll process, utilizing the ORCA Program database for card number tracking, reconciling ORCA Program database information with Paylocity deduction reports on a quarterly basis to ensure accuracy, managing annual contract renewal process with approval from CFO, and working with ORCA Program Representative for any ORCA Program needs throughout the year

• Other tasks as assigned


Skills/Qualifications Required

• AA degree or equivalent experience preferred

• 2+ years of experience processing payroll for 50+ employees

• Experience processing payroll using Paylocity, Paychex, ADP or similar payroll system required (Paylocity a plus)

• Experience with Quickbooks Premier desired

• Proficiency with Microsoft Office products required

• Exceptional time management and organizational skills 

• Exceptional track record in managing many details and working with great accuracy

• Proven ability to multitask, set priorities, and meet deadlines

• Ability to work successfully in a collaborative, team-oriented organization 

• Clear desire to embrace and align with Mary’s Place’s mission of empowering women, children and families experiencing homelessness to reclaim their lives

• Highly motivated and resourceful; possessing a positive attitude and sense of humor, even under pressure 

• Able to proficiently speak, read, write, and understand English required – fluency with additional languages highly desired 

• Prior non-profit experience a plus

• Excellent customer service experience and communication skills including interacting with others in-person and through email, using critical thinking skills to strategize, develop and implement business solutions, create and edit documents, listen and participate verbally at meetings

Physical Requirements

• Ability to converse with and listen to people in many different settings

• Ability to use a computer and telephone, as well as other standard office equipment

• Ability to sit, walk, stand, bend, squat, climb, kneel and twist on an intermittent or continuous basis

• Ability to occasionally push, pull, lift and/or carry supplies up to 25 pounds

• Work takes place in a social services environment where long periods of sitting, working on a computer, walking to various work areas, going up and down stairs, and standing are required

• Travel to program sites and meetings outside the site and around the county is necessary

• Ability to work in an environment where there may be animals present, including dogs
