Senior Payroll and Benefits Specialist

ASU Enterprise Partners, a private, nonprofit organization comprised of five subsidiaries that raise, create and invest resources for Arizona State University, is seeking a detail oriented Senior Payroll and Benefits Specialist to join the finance team.

The Senior Payroll and Benefits Specialist is responsible for administering the day-to-day operations of our payroll and benefit programs within Workday and One Source Virtual (OSV) and for providing excellent customer service to our customers. Under the direction of the Senior Director of Payroll and Benefits and in close collaboration with the Senior Strategic Planning and Budget Officer, the Specialist will analyze, prepare and input payroll and benefit data, maintain current knowledge of applicable state and federal wage and hour laws and facilitate employee understanding of payroll and benefit procedures.

What you’ll do:

·      Analyze, prepare and input payroll data to produce accurate and timely payroll and payroll changes, system maintenance, special payrolls, and off-cycle checks for multiple payroll companies within Workday

·      Provide statistical data as needed

·      Facilitate management and employee understanding of payroll procedures and policies

·      Coordinate the planning, implementation and administration of programs to develop, adjust and/or enhance payroll systems and procedures as required due to changes in tax laws, regulations and ASU Enterprise Partners’ (ASUEP) pay policies/compensation initiatives

·      Plan, coordinate and oversee the production and distribution of all employee tax statements and notifications as required by law

·      Responsible for the set up of direct deposits, maintaining employee pay and benefit records, and garnishments

·      Work with accounting department on the reconciliation of payroll liabilities, taxes, and deposits to the GL

·      Ensure compliance with company policy and procedures and federal/state regulations in regards to all payroll-related functions

·      Prepare reports such as gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc. for management via Workday

·      Maintain current knowledge of applicable state and federal wage and hour laws

·      Lead the implementation of new states in the payroll system, ensure all applicable payroll and tax setup is in compliance with the new state’s rules and regulations

·      Administer enrollments and deductions of various employee benefit programs such as medical, dental, vision, group life, health care reimbursement, short-term/long-term disability, medical and dependent care FSA, etc. for multiple companies

·      Track and invoice subsidiary benefit costs and administer intercompany reimbursements

·      Ensure the accurate payment and reporting of all ASUEP employee benefits in compliance with the provision of tax laws, federal/state regulation, and ASUEP policy

·      Participate in benefit enrollment implementation meetings

·      Prepare census for benefit bids

·      Coordinate with third party administrators for COBRA, leaves of absence and worker’s compensation claims

·      Ensure the timely posting of contributions and funding payments for the ASUEP 401(k) plan

·      Provide benefit information to employees as the key contact for information and resolution of benefit coverage issues

·      Install approved, new or modified plans and employee benefit policies

·      Provide customer service to internal and external customers

·      Other duties as assigned

What you’ll need:

·      Highly organized and able to handle multiple projects

·      Adept at navigating complex environments with evolving priorities and communication plans

·      Ability to develop and maintain recordkeeping systems and procedures

·      Ability to process computer data and to format and generate reports

·      Knowledge of all relevant payroll, employment, and income tax laws, regulations, and operating guidelines

·      Ability to make procedural decisions and judgments involving sensitive and confidential issues under stressful conditions

·      Ability to identify, analyze and resolve complex, multifaceted payroll problems

·      Knowledge of the aspects of employee benefits policies, procedures, and reporting requirements

·      Advanced knowledge of Workday HCM, Payroll, Benefits, Absence and Time

·      Experience with OSV payroll systems and reporting is desired

·      Ability to work outside of normal business hours to meet the demands of payroll processing

·      Advanced knowledge of Microsoft Office Suite – with focus on Excel

·      Ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy

·      Ability to meet deadlines, work schedule expectations and manage time effectively


Relevant qualifications:

Bachelor's degree in related field and 5 to 7 years’ experience or the equivalent education and work experience.  Experience with Workday payroll and reporting is required. Holding a Certified Payroll Professional (CPP) status required.

Working conditions:

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds. Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts. May be required to perform tasks in the field within and/or across University campuses. Ability to clearly communicate verbally, read, write, see and hear to perform essential functions.

Working equipment:

This position will require a laptop computer, desk telephone, mobile communication device ($60 monthly reimbursement) and business cards.
