Intro/Program Description: The Baxter Safe Haven is a transitional housing residence for homeless adults, many with mental illness. On-site services include case management, housing readiness entitlement assistance, medical and psychiatric care, substance abuse counseling, a meals program, 24 hour/7 day per week front desk security, and group activities.

 

Purpose of PositionTo provide administrative support to the Program Director, office, and staff.

 

ScheduleMonday through Friday - 9:00am to 5:00pm 


Role, Responsibilities & Essential Duties

  • Assist Program Director in all aspects of office functioning
  • Manage the phone system and help direct phone calls and messages to appropriate staff
  • Greet clients and visitors and direct them to appropriate staff person
  • Manage the traffic of the office during high traffic/service times
  • Organize all documentation, forms and vital resource information for case management staff
  • File, organize and track client charts, incident reports and other forms as needed
  • Track Petty Cash receipts and submit monthly Petty Cash reports
  • Track, code and submit all monthly invoices into the online Intacct financial system
  • Track organize and order office and program supplies and PPE
  • Create appointment slips for onsite medical and psychiatric treatment teams
  • Organize and track the daily office supplies
  • Track and organize all office paperwork to determine what should be kept onsite or shredded
  • Track monthly levels of service provided in AWARDS
  • Assist Program Director in the creation and submission of monthly funder reports
  • Assist Building Manager with updating tenant records

 

Qualifications/Educational Requirements

  • High School Diploma or GED required, Associate’s Degree preferred

 

Skills, Knowledge and Abilities

  • Prior work experience with homeless/ mentally ill individuals is helpful
  • Computer Literate
  • Highly organized
  • Strong communication skills
  • Detail orientated and systems savvy
  • Compassionate and personable
  • Team-orientated

 

Computer Skills: To perform this job successfully, an individual should be:

  • Proficient in Microsoft Office programs including Excel, Word, Power Point etc.
  • Able to use or learn multiple data bases including AWARDS and Intacct

 

Physical Requirements

  • Moderate computer work
  • Occasional lifting of up to 30 lbs
  • Walking to visit clients

 

Work Environment

  • Indoor office
