Job Summary: The Occupancy Specialist assists the Property Manager/Assistant Manager in managing daily building operations. Responsibilities include office management, administrative paperwork, managing move-ins / move-outs, and responding to general inquiries from residents. The ideal candidate is a team player with strong interpersonal, customer services, and organizational skills who pays attention to detail. Ability to make a schedule and complete work on time is a must.

Tuesday through Friday, 1:30pm to 5:30pm and Saturday, 10:00am to 2:00pm

Job Responsibilities:

·        Create and maintain tenant files and applicant waiting lists

·        Assist with the resident recertification process as needed to support Property Manager and Assistant Manager

·        Complete recertification interviews, obtain verifications from third-party sources, and track progress of each files completion

·        Enter and manage data in property management software

·        Greet potential residents and answer inquiries on phone

·        Follow the organization’s and Property Management policies and procedures, including safe work practices

·        Perform other duties as assigned

·        Handle typing, photocopying, faxing, and filing

·        Maintain orderliness of property management office

·        Relay any reasonable accommodation request to Property Manager

·        Process daily email and screen phone calls

·        Stay up to date with CCDC, TCAC, HUD, RHCP, HCD, etc rules and

Knowledge, Skills, and Experience:

·        Pleasant and professional manner with calm disposition

·        Ability to work with people of diverse social, economic, and ethnic backgrounds

·        Ability to work independently and exercise own judgment in problem-solving

·        Good written and verbal communication skills

·        Working knowledge of Microsoft Windows, Word, Excel, Outlook, Yardi Voyage or other property management software

·        Ability to function under stressful circumstances

Minimum Qualifications:

  • One (1) year office or administrative experience
  • One (1) year experience using MS Excel (including formulas) for work or projects
  • One (1) year experience using MS Word, Outlook, and the Internet
  • High school graduate or GED equivalent
  • Basic math skills

Preferred Qualifications:

  • Two (2) years prior experience in residential property management
  • Prior experience with low-income/affordable residential property management
  • Prior experience with reception work
  • Familiarity with Property Management
  • Tax Credit Specialist (TCS) or other equivalent designations
  • Bilingual with proficiency in Arabic, Russian, Vietnamese, or Spanish
