We are looking for a levelheaded Office Manager to help support and streamline new developments within our organization: someone who is an energetic professional and who does not mind wearing multiple hats, technology savvy, flexible and enjoys the administrative challenges of supporting a busy (virtual) office. The office manager is expected to be in our Spark Baltimore Office in Baltimore, Maryland at least one day per week. 

 

As our Office Manager, your focus will include the following areas.  

 

General Office Management 

Maintain office services by organizing office operations and procedures: this includes tasks such as: 

  • Organize and manage weekly staff meetings.  
  • Mail handling including packing and shipping packages. 
  • Answer general phone and email inquiries. 
  • Track and purchase supplies for the office, and for courses and facilitators. 
  • Be contact and coordinator for NeonCRM (Customer Relationship Management software) implementation process. 
  • File renewal paperwork for insurances and government services, etc.  
  • Develop new processes and procedures to improve our operations. 

 

Finances/Budget Development 

  • Support preparation of annual budgets for the organization and handle budgets for separate courses in cooperation with our Financial Director and President. 
  • Maintain files of all invoices and receipts. 
  • Cooperate with our President and Bookkeeper about accounts receivables to guarantee invoices are send, tracked, and collected. 
  • Work alongside the Bookkeeper to draft financial reports to guarantee that others in the organization may do their job (i.e. overviews of payments of training registrants and training staff). 
  • Work with the Membership Committee to manage the annual membership dues invoicing process. 

 

Marketing Related Activities 

  • Keep track of social media and cooperate with our Social Media Member Group to guarantee activities are moved forward and re-looked at on a regular basis. 
  • Conduct annual social media marketing report based on Facebook, Twitter, and LinkedIn analytics. 
  • Cooperate with our website person to guarantee website issues are addressed and the website is updated regularly. 
  • Retrieve Hub information for content creation and design newsletters to be sent on a regular basis. 

 

Membership Activities 

  • Respond to member requests, answer questions, etc. 
  • Schedule and organize member virtual meetings such as our Town Hall meetings, meetings of our Hub Stewards, and general Hub meetings. 
  • Be the administrator and advocate of our Slack platform, support members with questions. 
  • Coordinate, track, and schedule Virtual Learning Events (VLEs) for members. 

 

Required Experience/Education 

  • B.A. or B.S. preferred. 
  • Proven office management experience. 
  • Knowledge of and hands-on experience with a variety of office software such as Microsoft Office Suite, Box, Active Campaign, QuickBooks, CRM software, and Slack and the ability to quickly learn other programs. 

 

Required Skills  

  • You have the ability to work independently with little or no supervision; you are a self-starter, who is curious and solution-oriented. 
  • You are able to handle multiple priorities with demanding timeframes.  
  • You have excellent written and verbal communication skills and a strong emotional intelligence to know how to best interact and communicate with diverse audiences. 
  • You have a high technology quotient; you embrace technology and have an always on technical curiosity; you understand that any organization has to be digital sustainable to be able to be successful in today’s world. 

 

Supervisory Responsibility 

The President will provide supervision to the Office Manager. The Office Manager will provide supervision to the Program Support Manager.  

 

Work Environment 

This job operates in a professional office environment and may be done from home if you have a home office environment available. As stated, the office manager is expected to be in our Spark Baltimore Office in Baltimore, Maryland at least one day per week. 

 

Physical Demands

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. 

 

Schedule  

NTL Institute’s business hours are Monday through Friday, from 9:00 a.m. to 5:00 p.m. ET. Our standard work hours may vary based upon requirements for meetings to take place at globally desired time frames.
