JOB TITLE:   Portland Office Administrative Assistant

JOB PURPOSE: To support the ICS Operations Manager and Unaccompanied Minors Program with administrative and clerical functions.

ABOUT IMMIGRATION COUNSELING SERVICE: Immigration Counseling Service has been dedicated to defending the rights of immigrants for 40 years. We are a group of diverse individuals committed to providing high-quality immigration advocacy and representation to over 90 low-income immigrant communities throughout Oregon and Southern Washington. Our staff have extensive experience in immigrant and refugee communities (many being from immigrant families themselves) and trauma-informed care and are bilingual in English and Spanish. ICS encourages collaboration and is a supportive environment where our attorneys and staff constantly learn and grow.

RESPONSIBILITIES AND DUTIES: 

Primary:

  • Fiscal Management Support (20%)

o  Perform banking clerical duties and assist with preparing bills, invoicing and other financial documents;

o  Assist with annual audit and tax process;

  • Prepare reconciliation reports and track monthly accounts.
  • Operations Support (30%)

o  Maintain records/invoices on vendors and provide them with support when needed;

o  Calendar and track various due dates;

o  Assist with general operations work and administrative tasks as needed.

  • Unaccompanied Minors Program Support (40%)

o  Maintain records of clients and children with whom we provide limited scope services;

o  Maintain case files;

o  Aid in preparation of client letters and other client communications;

o  Perform data entry and maintain grant reporting data;

o  Provide appropriate referrals for released children;

o  Provide administrative assistance with other tasks such as preparing filings and translating documents.



SKILLS/QUALIFICATIONS

Minimum:

  • High school diploma or equivalent
  • Highly organized with attention to detail
  • Demonstrated technological competence
  • Proficient in Spanish


Desired:

  • Notary Public
  • Demonstrated experience working in fast-paced environment.



OTHER REQUIREMENTS


The position may require occasional driving of a motor vehicle, which requires a valid Oregon driver’s license. 


WORKING CONDITIONS AND PHYSICAL REQUIREMENTS


May require evening or weekend work; working with challenging clients; driving to centers where clients are located; may spend up to 7 hours per day using a computer (sit or stand), including keyboard and mouse, and using telephone; occasional lifting boxes of files or packages weighing up to 25 pounds.


This is a NON-EXEMPT, bargaining unit position

REPORTS TO: ICS Operations Manager, UC Managing Attorney

NUMBER OF EMPLOYEES SUPERVISED BY THIS POSITION:  None


SALARY AND BENEFITS: Salary is subject to a Collective Bargaining Agreement (CBA) and ranges from $32,000 to $36,500 DOE. Generous benefits package, including health and dental insurance, 20 hours of paid time off in addition to holidays, and a 35-hour standard work week.

WORKING CONDITIONS: During Oregon’s COVID-19 Stay at Home, Stay Safe order, work will be conducted via a home office, with computer and printer provided. Otherwise, work will be conducted primarily from ICS’ Portland Office with periodic evening and weekend work and travel to the shelters, the court, USCIS, and other areas in Oregon and Southern Washington.
